Job Description
This is a salaried non-exempt level position.
Position Summary:
The Production Office Clerk will have responsibility for production reporting, inventory reporting, payroll processing, HR admin, AP interaction with Coupa receiving, supplier communication, and tracking oil rail cars and trucks. This position will report to the plant manager.
Job Responsibilities:
- Update the Oil Inventory Daily in Production Systems.
- Track all rail cars that go through the system.
- Handle truck logs daily for Lincoln and Fremont.
- Handle all truck unload sheets and enter information accurately
- Input end of month inventory.
- Verify hours in Attendance Enterprise and process weekly payroll in Hourly Detail Pay.
- Be courteous and professional in dealings with all employees.
- Maintain up to date personnel spreadsheets and files.
- Assist employees with HR benefits and leave requests.
- Serve as a back-up to onboard new hires.
- Serve as back-up for drug screen testing for potential new hires and for monthly random compliance.
- Serve as back-up for the Secondary Hourly Admin Clerk.
- Co-coordinate and track issuing safety boot slips and authorization forms for prescription safety glasses.
- Enter and approve temporary employee hours on Fieldglass system each week.
- Track vacations and personal holidays for hourly employees for Fremont and Lincoln locations.
- Post bid sheets for openings for hourly positions.
- Track and receive all Purchase Orders in Coupa.
- Perform duties of Contractor Timekeeping System administrator.
- Maintain accurate pay codes in hourly detail pay system.
- Resolve Coupa invoicing issues in a timely manner.
- Participate in safety activities on site.
- Involvement with Performance Excellence activities on site.
- Support and adhere to plant standards for safety, quality, productivity, reliability. environmental stewardship and service
- Detail oriented with strong organizational and record keeping skills
- Excellent communication (spoken and written), listening and teamwork skills
- Work schedule is Monday through Friday for 40 hours, with some overtime available
- Computer literate in Microsoft Excel, Word, and Outlook and a desire to enhance skills through education and training for other computer programs
