Under the general direction of the Director of the Office of Community Engagement (OCE), the incumbent will coordinate student volunteer service recognition programs and first year student service learning experiences, including program planning, implementation and evaluation. The incumbent will represent OCE both on and off campus by cultivating and maintaining partnerships with campus departments and key civic, community and cultural organizations to develop on-going opportunities for community-engaged learning. The incumbent will also promote and facilitate the use of volunteer management software, including training sessions, marketing and daily monitoring of posted data. The incumbent will provide complex assessment support, including maintaining evaluation data, service learning course designations, and co-curricular service data. The incumbent will be responsible for solving problems by conducting research, analysis and evaluation of information; making recommendations related to operational and procedural matters, and preparing reports. The incumbent will train and provide general work guidance and input to student staff to assist with administrative and event support. The incumbent is responsible for coordinating and organizing all copies of financial document submissions to Purchasing and Accounts Payable departments, providing monthly budget reports, ordering office supplies, preparing all aspects of travel documents and managing a Procurement card. The incumbent is responsible for serving as a liaison with Payroll department and Student Employment; responsible for OCE human resources administrative support and functions for hiring staff; managing and maintaining accurate staff personnel records. The incumbent will be responsible for creating marketing materials including press releases, emails, social media, website content, mailers, advertisements, posters and flyers, marquee announcements and other necessary communications and managing the dissemination of the materials in a timely manner. The incumbent will provide high quality customer service in all interactions with campus and community members, including safeguarding confidential information. The incumbent will perform other duties as assigned.

Duties and responsibilities:

Responsible for coordinating and organizing all copies of financial document submissions to Purchasing and Accounts Payable departments, providing monthly budget reports, ordering office supplies, preparing all aspects of travel documents and managing a Procurement card. The incumbent is responsible for all time keeper and absence management duties; reconciling employee leave balances (vacation, sick, holiday and compensated time off leaves) and serving as a liaison with Payroll department and Student Employment; responsible for OCE human resources administrative support and functions for hiring staff; managing and maintaining accurate staff personnel records.

Provide complex assessment support, including maintaining evaluation data, service learning course designations, and co-curricular service data. The incumbent will be responsible for solving problems by conducting research, analysis and evaluation of information; making recommendations related to operational and procedural matters, and preparing reports.

Provide general guidance and input on work direction for student employees to assist with administrative and event support.

Represent OCE both on and off campus by cultivating and maintaining partnerships with campus departments and key civic, community and cultural organizations to develop on-going opportunities for community-engaged learning. Provide high quality customer service in all interactions with campus and community members, including safeguarding confidential information.

Collaborate with the Office of Strategic Communications to create marketing materials including press releases, emails, social media, website content, mailers, advertisements, posters and flyers, marquee announcements and other necessary communications and managing the dissemination of the materials in a timely manner.

Perform other related duties as assigned.

Minimum Qualifications: Required Education and Experience
  • Bachelor's degree and/or the equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs, PLUS two years of related experience.




Required Qualifications
  • Applicants must have working knowledge of computer software and social media applications, expertise in coordinating training sessions, and event management experience.
  • Applicants must possess knowledge of the university infrastructure, policies, and procedures as well as the ability to interpret and apply fiscal policies and procedures independently and to use judgment and discretion.
  • A thorough mastery of English grammar, punctuation and spelling is required along with the ability to effectively write and present own reports.
  • Other requirements include the ability to troubleshoot problems and respond to all inquiries and requests related to work area; ability to understand problems from a broader perspective and anticipate impact of problems on others; ability to analyze operational and procedural problems and develop, recommend, and evaluate proposed solutions; ability to perform business math, analyze budgetary data and make projections; ability to effectively handle interpersonal contacts and interactions at all levels and handle sensitive interpersonal situations; and the ability to use negotiation and persuasion skills to achieve results and expedite projects.
  • Applicants must have the ability to work cooperatively with a diverse group of campus and community partners and handle sensitive interpersonal situations.



Preferred Qualifications
  • General knowledge of evaluation principles and techniques and skill in their application; general knowledge of organization and management; and general knowledge of higher education policies, nonprofit organizations, service learning pedagogy, and fund development is preferred.
  • Applicants that have experience in the general guidance of student staff and providing input on work direction are preferred.



Compensation and Benefits:

Anticipated Hiring Range: $4,170 - $4,900 per month

Classification Salary Range: $4,170 - $7,545 per month

The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 14 paid holidays a year.
