Reporting to the Plant Manager, the Administrative Assistant is responsible for providing administrative and HR support to the plant employees and leadership team, as well as promoting positive employee relations. The Administrative Assistant will be the main contact for plant purchasing and payroll administration tasks, as well as supporting the general administrative needs of the site. This role will be M - F, 8am - 4:30pm.
Main Responsibilities
- As the site Purchasing agent for expenses, you will purchase production and maintenance supplies/services using the Ariba purchasing system. You will also process invoices and reconcile exception invoices.
- Tracks production and maintenance spending, adhering to monthly budgets.
- Serves as the go-to person for ADP Payroll administration tasks and reporting.
- Assist with the New Hire onboarding process: building access, business cards, desk setup, office supplies, phone extensions, and voicemail.
- Respond and support routine questions on human resources policies and procedures: assist employees and leaders with benefits, policy/procedure, leave administration, payroll resolution questions/issues, data changes, and other HR tasks as assigned.
- Manage office files and records, including confidential information and required compliance postings, in accordance with internal procedures.
- Assist site leadership with requests for data acquisition/analysis and other administrative services. Ensure data integrity for the site personnel.
- Coordinate employee events/celebrations, such as service anniversaries, holiday celebrations, Company picnic/recreational events, and charitable events.
- Arrange meetings, catering, travel, and plant tours; Maintain organization charts, phone lists, email groups, employee picture boards, In/Out boards, mail bins, and communication boards.
- Perform clerical, administrative, and general office duties involving recordkeeping and file maintenance, audit and compliance-related tasks, document creation, mail distribution, UPS shipments, and supply management.
- Oversees general office equipment including copiers, printers, and postage machines.
- High School Diploma Required. Degree in Human Resources or a related field preferred.
- 3-5 years experience in an administrative role, preferably in a manufacturing environment. Will consider less experience in conjunction with a degree in a related field.
- Previous experience in a Purchasing role is required. Knowledge of the Ariba purchasing system is a plus.
- Prior Payroll experience is desired.

- High level of work capacity and ability to work at a high pace. Demonstrated ability to manage multiple tasks and clients simultaneously.
- Excellent verbal, written, and presentation skills
- Basic knowledge of payroll laws and purchasing best practices.
- Strong organization and time management skills.
- Ability and passion to build relationships and work with employees at all levels of the organization
- Strength in listening to clients, understanding business concerns, and taking action to solve problems.
- Office hours are generally 8:00 am to 4:30 pm, M-F. However, the selected candidate must be willing to periodically adjust the work schedule to support events occurring during night and afternoon shifts in a 24/5 manufacturing operational setting.
