BOXX Modular is a business unit of Black Diamond Group. Black Diamond rents and sells modular space solutions and workforce accommodation solutions to customers in Canada, the United States and Australia. In North America, we also provide specialized field rentals to oil and gas industries. We serve diverse sectors including oil and gas, mining, power, construction, engineering, military, government, and education.
We have a full-time position for an Administrative Assistant in Exton, Pennsylvania.
Reporting to the Manager, Project Contract Administration, the Administrative Assistant is responsible for providing a variety of administrative support to BOXX Modular, Inc., enabling seamless service cycle from sales to delivery of our product and services to our customers. The role is the first point of contact for the main phone line, responding and redirecting customer inquiries and information requests where appropriate.
The role will support our Accounting Center of Excellence office in Exton, PA in a variety of tasks such as Accounts Payable and Receivable.
Duties and Responsibilities:
· Daily phone coverage for main phone line;
· Respond to telephone, in person or electronic inquiries or forward to appropriate person and providing general information to clients and the public;
· Process incoming and outgoing mail, manually or electronically;
· Sort, process and verify vendor applications, receipts, expenditures, forms and other documents;
· Coding Accounts Payables (AP) and creating Purchase Order’s in SAP Business One and uploading AP invoices to SharePoint;
· Completes AP pay runs, processes vendor payment and sends out to respective parties;
· Assist Area Sales Managers with Deal Work-up Sheet (DWS) completion
· DWS review and entry in Salesforce
· Deposit checks, credit card reconciliations
· Project completion audit in Sharepoint
· Obtaining Certificate of Insurances and verifying the correct coverage
· Assisting with UCC Filings as needed
· Assist in ordering equipment and supplies for the office and new hires;
· Act as a liaison for new hire onboarding, including set up of desks for new hires, and working with the appropriate internal dept such as IT, HR to ensure proper preparation for new hires;
· Follow company policies and procedures;
· Present a professional image at all times to customers and vendors;
· Other duties as required.
Qualifications
· 2-3 years of related administrative experience;
· Must be fluent in English both oral and written;
· Excellent customer service skills;
· Self-starter and ability to work in a fast-paced dynamic environment
· Strong administrative skills, including organization and prioritization;
· Must be skilled in the use of Microsoft Office Suite including Excel, Word, Outlook; Salesforce experience is a plus, but not a requirement.
· Have excellent communication and interpersonal skills;
· Perform in an ethical and professional manner;
· Work in a collaborative team.
