Job Title:
Administrative Assistant (Sometimes referred to as Church Secretary)
Reports to:
Senior Minister (Currently Rev. Peter McCurdy)
If there is a conflict between staff and pastor, the staff member can meet independently with the “Employee Support and Relations Team (ESRT)”
Position Status:
Full-Time at 30 hours a week (9:00 am till 3:00 pm Monday through Friday).
Purpose:
The administrative assistant is to support the ministry of the church through the capacity of the church office and direction of the Senior Minister.
Qualifications:
· Should have a High School Education (some college is preferred).
· Should demonstrate professional standards such as good phone etiquette, confidentiality, open lines of communication with the senior minister, conscientious work ethic, teachable attitude, cordial and professional interpersonal conduct, and accountability.
· Should demonstrate a high level of trust. (A violation of trust can be grounds for immediate dismissal.)
· Should have two or more years of experience as an administrative assistant.
· Should have a minimum typing of 65 words per minute with accuracy and transcribing experience.
· Should have strong computer skills (Windows, Word, Excel, Publisher, PowerPoint, and Outlook).
· Should have excellent organizational skills.
· Should have an excellent command of English composition and punctuation.
· Should be able to follow through with details.
· Should have timely attendance with ability to vary schedule when needed.
· Should be able to work independently with little supervision.
Job Responsibilities and Duties:
1. Answering the telephone, checking voice mail, taking messages, and/or transferring to the correct individual to address the call.
2. Maintaining the church calendar and informing the staff of any changes or updates. This does include church rentals, weddings, funerals, etc.
3. Maintaining a shut-in and hospitalization list for Deacon and Pastoral visits.
4. Prepare, print, proof, and assemble bulletins and programs for church services and activities.
5. Keep accurate membership records using Church Windows software.
6. Retrieving mail, email, responding to correspondence, and keeping records if needed; including preparing monthly birthday cards and anniversary cards for the congregation that the Senior Minister signs.
7. Prepare the weekly announcement PowerPoints.
8. Prepare order requests for office supplies to support the ministry of the church with approval from the Senior Minister.
9. Make orders of supplies at the request of Ministry Team Leaders (including janitorial supplies).
10. Prepare weekly emails, monthly newsletters, and annual reports to communicate ministry with the congregation.
11. Maintain petty cash with accurate records and receipts.
12. Compiling reports or typing minutes of ministry teams if needed.
13. Mail checks and file receipts as needed.
14. Maintain office equipment and reception area.
15. Prepare membership transfers requests and referrals.
16. Maintain church directory.
17. Prepare annual reports for the American Baptist Churches of IN/KY.
18. Keep accurate list of memorial donations including sending thank you cards and memorial flower donations (Christmas Poinsettias for example).
19. Place printed material around church when needed (i.e. Bulletins, Visitor Packs, Our Daily Bread, etc).
20. Inform the senior minister and/or finance ministry team chair (if pastor is unavailable) of requests to use the church credit accounts (Kroger, Office Max, Church Credit Card, etc.).
21. Be flexible and you may be asked to do something not listed here as necessary; if a question arises ask your supervisor.
22. Learn and work with One Call Now emailing prayer requests.
23. Learn and work with MailChimp for communication with the congregation.
24. Don’t work when you are not on the clock.
Evaluation and Compensation:
The position currently is at $15 per hour with no more than 30 hours expected per week. The employee is offered one-week (5-days) consecutive or non-consecutive paid vacation time with no roll over, 10 federal holidays (New Year’s Eve, New Year’s Day, Good Friday, Memorial Day, July 4th, Labor Day, Thanksgiving Day, Friday after Thanksgiving, Christmas Day, Day after Christmas), and two weeks of sick time per year with no roll over. – See staff policy for paid time off for details.
The senior minister in coordination with the ESRT will conduct an Annual Performance Evaluation typically in the fall. Compensation will be reviewed annually at this time as well.
