As an integral member of our renowned resort, you will split your time between the prestigious Burnt Pine Private Club and our esteemed Catering and Conference Services department. Job Summary:

  • Administrative Support: Provide comprehensive administrative support to both Burnt Pine Private Club and Catering and Conference Services, including managing calendars, scheduling appointments, organizing meetings, and preparing correspondence.
  • Documentation and Reporting: Assist with preparing and maintaining various reports, presentations, and documents, ensuring accuracy and adherence to established guidelines.
  • Communication Liaison: Serve as a communication bridge between internal teams, external vendors, and clients, ensuring efficient and effective information flow.
  • Event Coordination: Collaborate with the Catering and Conference Services team to assist with event coordination, including managing bookings, updating event details, and supporting event logistics.
  • Database Management: Maintain accurate and up-to-date databases, ensuring the integrity and confidentiality of sensitive information.
  • Customer Service: Provide excellent customer service to members, guests, and clients by promptly addressing inquiries, resolving issues, and delivering a warm and professional experience.
  • Office Operations: Assist with general office operations, including ordering supplies, managing mail, and maintaining organized filing systems.
  • Ad hoc Projects: Support special projects and initiatives as assigned, demonstrating flexibility and a willingness to contribute to the overall success of the resort.

Education:

High school diploma or equivalent; additional education or certifications in administrative studies is a plus.

Requirements:

  • Proven experience as an administrative assistant or in a similar role, showcasing strong organizational skills and attention to detail.
  • Proficiency in computer applications, including Microsoft Office Suite (Word, Excel, PowerPoint) and calendar management systems.
  • Excellent written and verbal communication skills, with a keen eye for grammar and formatting.
  • Ability to multitask and prioritize tasks effectively in a fast-paced environment.
  • Strong interpersonal skills, with the ability to interact professionally with team members, clients, and external stakeholders.
  • Discretion and integrity when handling confidential information.
  • Flexibility to work occasional evenings or weekends to support events.
  • Knowledge of the hospitality industry or previous experience in a resort setting is a plus.

Basic Required Skills:

  • Must be able to speak, read, write and understand the primary language(s) used in the workplace.
  • Utilizes an “open door” policy, and reviews employee satisfaction results to identify and address employee problems or concerns.
  • Requires good communication skills, both verbal and written.
  • Must have knowledge of Microsoft software such as Excel, Word, and Outlook.
  • May be required: to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form; to deal with problems involving several concrete variables in standardized situations.

Physical Demands:

  • Most work tasks are performed indoors. Temperature is moderate and controlled by the environmental systems.
  • Must be able to stand and exert well-paced mobility for up to 5 hours in length.
  • Must be able to exert a well-paced ability to maneuver between functions occurring simultaneously.
  • Must be able to lift items weighing up to 25 lbs. as needed.
  • Requires grasping, writing, standing, sitting, walking, repetitive motions, bending, climbing, listening, and hearing ability, and visual acuity.
  • Talking and hearing occur continuously in the process of communicating with guests, supervisors, and other employees.
  • Vision occurs continuously with the most common visual functions being those of near vision and depth perception.
  • Requires manual dexterity to use and operate all necessary equipment.
