We are currently seeking an Administrative Assistant to support our Patuxent River, MD customer in PMA-261. The Admin Assistant will be a member of the Foreign Military Sales (FMS) Team and will support the daily activities of the CH-53K Israel Team.

The Admin will provide administrative support for the CH-53K Israel Team. They will provide support by performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. They will also support the CH-53K Israel Team with setting up meetings, administrative duties, briefings, and projects as required.

Duties may include, but are not limited to:

  • Coordinating and executing International travel documentation for team members to include:
    • Defense Travel System (DTS) travel orders and vouchers
    • Aircraft and Personnel Automated Clearance System (APACS) submissions
    • Individual Antiterrorism Plan (IATP) and other Theater Travel requirements
  • Common Spend Plan Tool (CSPT) data entry
  • Procurement Management Tool (PMT) and Procurement Initiation Document (PID) data entry and request submissions
  • Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications
  • Maintaining and coordinating calendars and meetings in support of the CH-53K Israel Team
    • Coordinate/schedule/facilitate meetings
    • Meeting Minutes/Action Items
  • Distribute briefs and files for meetings, as requested
  • Marking documents for review and release to Israel under current CH-53K FMS case
  • Proficient in Microsoft Programs to include Outlook and Word, and familiarity with PowerPoint and Teams
  • Good written and verbal communications skills
  • Good organizational skills and ability to multitask
  • Good interpersonal skills
  • Other duties as required

REQUIRED EDUCATION: High School diploma / GED.

REQUIRED EXPERIENCE: At least 1 year of experience in an administration discipline.

DESIRED EXPERIENCE: At least 1 year of experience utilizing the Defense Travel System. NAVAIR experience and a current Common Access Card a plus.

Must be clearable and able to obtain and maintain a Secret security clearance.
