Content Area or Department Brief Description
Early Childhood Intervention, Mental Health and Inclusion content area includes training, technical assistance, and consultation to build the capacity of systems and professionals to support healthy social, emotional, and developmental outcomes; promote participation and inclusion; and foster child and family resiliency. This area supports state and local programs that work with families of young children with disabilities, developmental delays or at risk for developmental delays to promote and support overall development and to promote and address infant-family and early childhood mental health, particularly in under-served and vulnerable populations.
The Opportunity
Participate as a member of the Operations Team to ensure quality assurance in project administration of reporting activities, hiring, purchasing and all other internal organizational systems and operations. Manage contracts and invoicing and support event production.
Core Focus Areas
Collaborate with senior project leadership to manage contracts and invoicing by:
- Create, process and monitor contracts, subcontracts, purchase orders, consultant agreements, and invoices for over 100 consultants.
- Manage consultants, subcontractors, and vendors.
- Review invoices for accuracy and follow up with the appropriate departments as needed.
- Identify appropriate process for contracting with individuals and agencies.
- Manage tasks lists and project scopes by effectively tracking tasks, consultant budgets.
- Interface on a regular basis with internal staff at all levels in the organization while building effective relationships.
Event Production
- Coordinate event management logistics for in-person and virtual events that may include conducting outreach to prospective participants, preparation of meeting materials, booking meeting rooms, arranging catering, point of contact for caterers and other vendors, overseeing location set up and clean up, and registering participants.
- Provide coaching and support on an ongoing basis to staff with travel and expenses.
- Coordinate meeting logistics and planning for external workshops and training events and internal meetings, including processing travel requests
- Support staff with travel and expenses within Concur by providing coaching and support on an ongoing basis
Onboarding
- Assist with the review of resumes for staff positions. Schedule and participate in the interviewing process for staff.
- Coordinate onboarding process for new hires with Program or Project Director, which includes ordering necessary computer equipment, software and set up of home or office space.
- Provide new hires with basic onboarding training as part of D2 and WestEd. Train new staff on WestEd internal processes.
Support
- Communicate with colleagues, clients, and partners in a manner that is professional, responsive, and appropriate.
- Assist with the development of project protocols that align with WestEd’s internal systems.
- Ensure consistency of approach by following established processes and protocols while engaging in process improvement when appropriate.
- Develop and apply familiarity with content knowledge and key concepts within project / service areas integrating that familiarity into the development of meeting notes, project correspondence and spreadsheets for internal and external audiences.
- Apply mastery of WestEd tools such as Box, Smartsheet, Excel, and Word to various project processes. Act as an expert-resource to program staff in the effective use of these tools.

SALARY AND BENEFITS:
The full salary range for this position, WestEd level F, is $74,080 to $111,100 but WestEd does not typically hire at or near the top of the salary range. The typical hiring range for this role is $74,080 to $92,600. The actual offer takes into account multiple factors including but not limited to education; experience; internal equity, and other organizational needs.
In addition to the base salary, benefits include:
- 15% contribution toward retirement effective day 1 of employment

- PTO: 3 weeks vacation (increases to 4 weeks beginning the 4th year of employment), paid holidays, and 12 days paid sick leave per year
