Job description
JOB SUMMARY:
Reporting to the Community Living Services Program Director, this position is responsible for providing administrative and clerical support to the Program Director and Community Living Services program staff in the office to maintain an efficient office environment and confidentiality. Duties range from generalized office-related tasks to maintaining program s personnel records, data entry of information into all electronics reporting systems supported by the program, completing reports, processing invoices, maintaining a filing system and performing related duties as assigned. Knowledge of and use of computers, various software programs, scanners, and other office equipment is required. The Administrative Coordinator must have adaptive skills to learn and recommend improvements.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Provides administrative support to the Program Director and program staff.
- Creates, maintains, and audits staff personnel files. Execute plans, schedules and supporting deliverables designed to meet program goals.
- Responsible for all routine clerical operations and communications. Coordinates meeting logistics and maintains details minutes and action item lists.
- Supports the Program Director in monitoring and maintaining fiscal matters including program budget.
- Prepares reports and analysis as requested by the Program Director.
- Assist the program with C.A.R.F. Accreditation
- Provides supervision to support staff as needed.
- Maintains Program Director s calendar and appointments.
- Able to evacuate during hurricane season with program.
- Performs related duties as assigned.
ADDITIONAL DUTIES AND RESPONSIBILITIES (Non-essential)
- Assists with the transportation, stocking and shelving of office supplies and equipment.
- Performs light housekeeping to keeps office area clean and tidy.
KNOWLEDGE, SKILLS, ABILITIES:
This position requires knowledge, skills and abilities equivalent to:
- Bachelor s Degree (business, healthcare and/or social work). Business college training is strongly preferred.
- Competent computer skills, including MS Office and knowledge of office equipment is required.
- Proficient verbal and written communication skills
- Organizational, planning, work management and prioritizing skills required.
- Problem solving ability, attention to detail, accuracy, flexibility, and reliability required.
- Documented, verifiable office experience is strongly preferred.
PHYSICAL REQUIREMENTS:
Work is primarily performed in a normal office environment generally while seated at a desk. Dexterity is required to perform work with personal computer keyboard, calculator and other office equipment.
