Administrative Coordinator/Entry-Level Paralegal (Part-time)
Job description
The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting the needs of the Chief Legal Officer. The ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality is crucial to this role. Excellent written and verbal communication skills are required. This is a part-time position (17.5 hours per week).
Provide coordination for NLN legal processes
- Maintain NLN legal documents
- Assist in the workflow of contract/legal document development, including receiving legal work requests, monitoring the receipt of feedback from key parties, and obtaining fully executed agreements for records
- Establish a calendar for all contracts, including effective dates, end dates, and notice of cancellation dates
Support the overall functioning and activities of the Governance Services Business Unit
- Coordinate activities of the Governance Services Business Unit
- Collaborate with other NLN business units to promote unit effectiveness
Coordinate special projects of the Chief Legal Officer
- Maintain calendar due dates for various special projects
- Maintain records for CLO special projects
Provide administrative support for Human Resource special activities
- Assist in maintaining an accurate HR policy manual
- Support HR benefits coordination information
Support the Chief Legal Officer
- Assist in coordination of speaking activities
- Assist in maintaining the calendar of the CLO
- Arrange travel details for the CLO as needed
- Provide document processing and editing support
Perform miscellaneous job-related duties as assigned
QUALIFICATIONS
Must have excellent calendar management skills, including the coordination of complex executive meetings; Experience assisting management with the creation of PowerPoint presentations; Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook; Attention to detail required; Effective document editing skills; and Experience scheduling travel arrangements for management. A minimum of a baccalaureate degree from an accredited college or university is required. Support experience in a professional service, non-profit, or legal environment preferred; Experience successfully creating and/or modifying processes preferred. Must be able to multi-task, prioritize work, and manage time. Attention to detail and completion of projects is required.
