General Summary:
The Department of Radiation Oncology provides radiation oncology services to the Brigham and Women’s Hospital, Dana-Farber Cancer Institute (together as Dana-Farber Brigham Cancer Center “DFBCC”), Boston Children’s Hospital, four satellite locations; the DFBCC at Milford Hospital, the DFBCC at South Shore Hospital, the DFBCC at Libbey Park (Weymouth), Brigham and Women’s/Sturdy Memorial Radiation Oncology Center (Mansfield), and network affiliate sites; Bermuda Cancer Health Center, The Bennett Cancer Center at Stamford Hospital (CT), and The Christ Hospital System (Cincinnati, OH). Cumulatively the DFBCC Departments treat ~400 patients per day and has ~ $600M in technical and professional gross patient service revenue. The combined departments have >50 physicians and over 400 support personnel.
Under the general direction of the Executive Director, this newly created role of Director of Administration will provide strategic leadership for the Department and the Executive Director. The work of the Director of Administration will consist of, supporting clinical operations (including the Department’s Clinical Operations Leadership Team “COLT”), management of media relations, supporting network development, will be the key person of contact for ongoing network affiliate support (Bermuda, Stamford Hospital, etc.), maintains and creates various business metrics, assists in new program development, and manages the Department’s project portfolio. This role will also support projects that involve both Radiation Oncology Departments within Mass General Brigham (MGB). The Director of Administration works closely with business personnel at DFBCC to monitor contract requirements.
STRATEGIC PLANNING
- Provide strategic leadership and counsel for the Department; lead the capture, analysis, interpretation, and utilization of financial, operational, research, and educational data used in decision-making that meets the needs of the Department.
- Work closely with the Executive Director on the development of operating, financial, and administrative programs and/or major equipment purchases.
- Facilitate the formulation of multi-year Department plans with members of the Department and DFBCC leadership to support growth and service mix enhancements across the clinical, research, and educational missions.
- Develop and implement processes to support and measure the success of initiatives.
- Devise strategies for effective use of clinical, financial, and operational benchmarking data for various analytic purposes; goal setting, measuring productivity/improvement activities, and determining proper staffing levels.
- Keep current regarding trends and developments in the health care field, particularly when they pertain to strategic planning, analytic and decision support tools, financial trends, evolving technologies and programs.
ADMINISTRATION
- Support the implementation of major Hospital and PO initiatives.
- Support leadership meetings as needed and present work pertaining to strategic planning, financial analysis, and business planning; develop and present executive level analyses on key Department programs and planning activities.
- Facilitate and manage the requests made of the Department by various stakeholders for information, accommodation, or support.
- Work with the various Oncology Disease Centers at the BWH and DFCI.
- Serve on departmental and hospital committees as needed or assigned by the Executive Administrator.
- Work closely with the Senior Directors to develop recruitment and retention programs.
- Oversee administration, maintenance, and continual development of the Department’s Intranet and Internet sites. Including responsibility for the Departments’ media relations and working with Hospital staff on marketing efforts.
- Organize and maintain multi-year capital requests.
- Lead or participate in special projects and perform other related tasks as requested or required.
- Act as a liaison between the Departments and Hospital Administration.
PROJECT MANAGEMENT
- Leads project design and planning efforts.
- Creates tools necessary for ensuring project completion on time and within budget.
- Manages 3 or more simultaneous major projects in addition to smaller projects.
- Facilitates project-based meetings to achieve a specific goal.
- Responsible for maintenance of all project materials.
- Directs complex business planning projects across departments and often across. organizations. This entails multiple simultaneous mid-to large-scope projects.
- Allocates work to appropriate business units and staff; ensures accountability and follow up.
- Populate and maintain status reports, issue and decision logs, and timelines for communication of project to all stakeholders.
NETWORK DEVELOPMENT
- Assists the Executive Director on business plan development for potential new affiliations.
- Establishes working teams to prepare for operational readiness.
- Responsible for successful execution of initial relationships and agreements, operational transitions, and hand-offs to appropriate clinical and administrative leaders and monitoring ongoing relationship management.
- Serve as a principal liaison between the external entity and the Department and serves as a business partner for answering questions and fulfilling needs of external partners.
- Works closely with OGC on contracting and other business agreements.
- Develop market analysis detail.
- Conducts due diligence relating to new ventures and opportunities.
QUALIFICATIONS
- Bachelor’s degree required; MBA or master’s degree strongly preferred
- Minimum of 8 years of experience in strategy, business planning, or project management in health care
- Radiation oncology experience is a plus
SKILLS & ABILITIES
- Strong communication and interpersonal skills.
- Ability to handle sensitive information, particularly in the complex, matrixed environment in which the Department operates.
- Ability to think strategically.
- Strong experience with a variety of information systems.
- Must be able to multi-task, continually reprioritize projects, and be able to respond to time sensitive issues.
- Must be able to lead and work in a team environment.
- Strong writing skills: ability to creatively use tables, graphs, charts to translate words into pictures.
- Project management experience.
- Strong attention to detail and high deliverable quality.
- Advanced Word, Excel, and PowerPoint skills required.
