Purpose
Provide reliable, executive level support and assistance to the Director, interfacing with senior management, faculty, staff, and external constituencies to further the goals of the Strauss Center for International Security and Law. Oversee, manage, and coordinate the day-to-day activities of the center, including a wide array of research programs, educational initiatives, and broader outreach for students and the public.
Responsibilities
  • Operational Oversight and Management
    Oversee all operational support for the Strauss Center and its faculty, staff, and guests. Manage Strauss Center facilities in collaboration with the LBJ School and the Law School including anticipating and coordinating requests and maintenance. Coordinate the purchase and maintenance of office supplies (Staff laptops, monitors, other hardware, software, kitchen supplies, first-aid, etc.) Coordinate IT support. Maintain software licenses and departmental records. Organize and provide records and other needed information for financial and HR management.
  • Program Management and Support
    Manage Strauss Center programmatic efforts. Coordinate special projects, conferences, receptions, and events as directed. Plan catering for lunch meetings and special events. Work with Program Coordinators to maintain a record of program activities for annual endowment compliance reports. Make all travel arrangements (RTA, flights, reimbursements) for program faculty, speakers, and guests. Support the Director in maintaining lines of communication with donors related to program development and administration. Work with Program Coordinators to maintain a record of program activities for annual compliance reports and other purposes. Provide administrative support for fundraising efforts, including grant-writing and reporting.
  • Executive Support
    Provide executive support to Strauss Center Director. Coordinate regularly scheduled and ad hoc meetings, as directed. Provide counsel regarding administrative matters. Ensure the preparedness of the Director for meetings, events, and trips, and work with others to ensure materials are prepared appropriately and on time. Screen and control flow of incoming phone calls and visitors to the office and take appropriate action on messages, meeting requests, etc. Make all travel arrangements (RTA, flights, reimbursements) for the Director. Perform other needed administrative and programmatic tasks as directed by Strauss Center Director.
  • Staff Management
    Supervise student research assistants and temporary administrative employees including performance management and timesheet approval.
  • Other related duties as assigned.
Required Qualifications
Bachelor's degree. Three years of experience coordinating or administering a program.
Relevant education and experience may be substituted as appropriate.
Preferred Qualifications
UT administrative experience. Prior experience with or interest in the subject matter covered by our research programs and educational initiatives.
Salary
$44,000 + depending on qualifications
