POSITION:
Administrative Secretary-Special Education
SUMMARY:
Assists the Director of Special Education by performing secretarial duties.
Functions as a liaison between client-parents and the professional special
education staff. Maintain communications with many school districts serving our students.
QUALIFICATIONS:
High School Diploma or general education degree (GED), required.
Previous Secretarial Experience required.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
1.Creates correspondence such as letters and memos, reports, forms, etc.
for the Special Education Department.
2.Answers routine telephone inquiries regarding department programs and
procedures.
3.Takes messages and routes other telephone calls.
4.Schedules meetings, team meetings and maintains Special Education
Director’s calendar.
5.Assists in the budget process.
6.Processes invoices, encumbers funds and maintains department budget
7.Maintains Special Education’s database which includes updating IEPs,
grids, dates, transportation and SIMS elements
8.Oversees all Special Education transportation, including In/Out of District,
TAP, summer school for special education students and alternative
programs and includes encumbering, verifying, paying invoices and
tracking all transportation vendors.
9.Maintains and updates Special Education’s database technology
10.Processes attendance for out of district students
11.Medicaid Coordination for district for Medicaid students and staff
12.Liaison for parents, schools and staff.
13.Compiles and enters statistical information for state reports.
14.Maintains building use calendar.
15.Sets up and maintains filing (non-student based).
16.Assists the Director of Special Education as requested.
17.Support the Legal Compliance Officer in regards to legal matters per the
direction of the Special Education Director.
18.Knowledgeable in Word, Excel, Aspen, Google Docs and Munis
19.Work collaboratively with Special Education Director during grant writing,
DESE Indicators, Circuit Breaker and Tiered Focus Monitoring
20.Any other duties and responsibilities decided by the Special Education Director.

Job Requirements
