Job description

Under general supervision, performs detailed secretarial and clerical duties for the Utility Services Manager. Supports additional Utility Services Division staff members as needed.

Examples of Duties

  • Provides secretarial/general office support duties to include but not limited to: typing, data entry, proofreading, filing, sorting, retrieving records, photocopying, collating materials, serving as receptionist as needed, performing mathematical calculations with proficiency, inputting data using various computer programs, processing invoices and check request, and other tasks as assigned.
  • Performs administrative duties which include assisting Utility Services staff by coordinating travel arrangements, creating general correspondence, meeting preparations, gathering, summarizing and compiling data for reports and other various data.
  • Acts as a first point of contact regarding utility line issues, problems or questions; creates service tickets and dispatches maintenance personnel to resolve utility line problems.
  • Conducts research, surveys, monthly reports, and assists with other special projects as directed.
  • Operates various types of office equipment to include computers, telephone, calculator, copiers, and binding machines.
  • Maintains employee time and payroll time sheet information for the division.
  • Maintains and organizes inventory and handles ordering of office supplies for the division.
  • Assists the public with questions requiring knowledge of policies and procedures and other Public Works activities.
  • Prepares and processes credit card statements, travel vouchers, requisitions and purchase orders.
  • Adheres to records management guidelines to include maintaining records according to Town procedures and applicable laws. May assist with records retention projects as needed.
  • Provides assistance to other divisions as needed.
  • Informs supervisor of all work activities.
  • Adheres to departmental, personnel and safety policies and procedures.
  • Assists co-workers and other departments as needed.
  • Performs other duties as assigned.

Minimum Qualifications

BASIC QUALIFICATIONS:


  • A High School Diploma or General Equivalency Diploma (GED) is required.
  • Must possess a valid Texas driver’s license and driving record must be in compliance with Town policy.

WORK EXPERIENCE:
  • Must have a minimum of two or more years of administrative work experience or completed office vocational training school.

Must submit to and pass a post-offer, non-regulated drug test and thorough background checks (including criminal history.)

KNOWLEDGE / SKILLS / ABILITIES:


  • Must have an excellent working knowledge of office administrative practices and computer operations to include Microsoft Office.
  • Must have excellent English communicative skills to include spelling, grammar, and punctuation.
  • Must type 40 net words per minute.
  • Must be able to work well under pressure and stress, handle multiple tasks, prioritize and organize work assignments, and maintain a pleasant and friendly demeanor at all times.
  • Must be able to work extensive hours including evenings and weekends as required.
  • Must be able to type, see, read, talk, hear, write, and understand and carry out oral and written directives.
  • Must be able to walk, bend, stoop, reach and climb.

PHYSICAL ABILITIES:
  • To perform essential functions of the job, must be able to type, see, talk, hear, read and write.
  • May be required to move various boxed documents weighing up to 52 pounds with the use of a dolly for assistance.
