SUMMARY OF DUTIES
Plans, organizes, coordinates, implements, monitors, and evaluates the administrative support for all island offices (main office, satellite offices/classrooms). Participates in administrative decision making; develops or assists in the development, implementation and enforcement of support staff procedures, and sets workflow priorities and standards. Oversees or participates in the development and management of various direct-service program areas within the department pertaining to administrative support services. Performs tasks which require advanced skills in organization and planning, in-depth knowledge of office operations and objectives, and overall knowledge of other departments and programs. Provides direct, administrative assistance to the Director of Island Programs.
EDUCATION AND TRAINING REQUIREMENTS
- Four-Year College Degree from a school accredited by a recognized accrediting agency - general major. Requires basic knowledge or training in a specialized or technical field or trade, such as social work, professional accounting, finance, business administration, and marketing.
- Other (Specify): Over 6 years of supervisory, administrative, and direct service experience may be substituted for Bachelor's Degree Requirement.
EXPERIENCE
- Over two years, up to and including four years.
- Office administration experience or equivalent experience required.
SPECIAL KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED
- Experience in working with parents/caretakers who harmed their children or threatened their children with harm and children who experienced harm or were threatened with harm and who experienced trauma and loss.
- Experience in working with domestic violence, substance abuse, and permanency issues.
- Ability to plan, direct and effectively supervise the work of professional, technical and administrative support services staff; develop and maintain effective working relationships at all levels within and outside of the department; prepare effective correspondence and reports; and communicate effectively verbally in sensitive interpersonal situations. Demonstrated ability to establish workload priorities and balance diverse projects.
- Must be experienced in data base management software programs, Excel spreadsheet application, and MS Word and PowerPoint.
- Ability to provide leadership, counsel, motivation and constructive performance reviews to program secretaries, securing their respective commitments to the programs' and the organization's goals.
OTHER POSITION REQUIREMENTS
- This job requires a valid Hawaii driver's license, a clear driver's abstract, and use of agency vehicle to transport participants, as needed, as well as a willingness to travel in personal vehicle on an as-needed basis throughout the island.
- The nature of this position requires the incumbent to be on-call 24 hours a day, 7 days a week.
- This position is subject to a criminal background investigation and continued employment is contingent on a record clear of convictions.
- Continued employment in this position is contingent on successful completion of CPI classes OR other Behavioral Management certification as may be contract-mandated.
- Continued employment in this position is contingent on successful completion of First Aid classes.
