Administrative Services Specialist

The Conference and Administrative Services Specialist is an integral behind-the-scenes support of students living on campus. Reporting jointly to the Director of Housing Administration, and Assistant to the AVP Senior Director, the Specialist maintains daily office functions by performing administrative and fiscal responsibilities requiring a high degree of discretion and independent judgment. The Specialist assists students and visitors and maintains departmental correspondence, requiring excellent student support skills and strong oral and written communication skills. This position is responsible for supporting academic year and summer conference applications, assignments, meal plans, and billing. They monitor, reconcile, and update assignment and meal plan charges. An advanced level of critical thinking skills and independent decision making is needed to be successful in this hybrid role, along with the ability to multitask and work in several software packages such as IRIS, StarRez, MAUI, and Microsoft Office. Occasional evening and weekend work may be required in order to meet the needs of the office.

Qualifications:

Required Qualifications:

  • Bachelor’s degree in business or related field and one year of experience, or an equivalent combination of education and related experience.
  • Experience (typically one year or more) working with complex databases and information systems.
  • Experience (typically one year or more) with confidentiality and sensitive personal data.
  • Experience (typically one year or more) working with accounts receivables and/or UI financial systems, policies, and procedures.
  • Excellent written and verbal communication skills, particularly in the customer service area.
  • Demonstrates careful attention to detail and accuracy, strong organizational skills, and ability to handle multiple tasks quickly and effectively, proactively establish priorities and meet deadlines.
  • Commitment to and alignment with the values of the Division of Student Life, including a demonstrated commitment to excellence through diversity, equity and inclusion.
  • Ability to understand the unique needs of student and guest populations such as those with disabilities, international visitors, or those who may be gender non-conforming.
  • Demonstrated proficiency with computer software applications including Microsoft Office Suite.
  • Demonstrated initiative, as well as, the ability to build positive working relationships and contribute to team success.
  • Ability and willingness to work occasional evenings and weekends in order to meet business need.

Desirable Qualifications:

  • Experience working with IRIS conference software and/or StarRez housing information system.
  • Working knowledge of housing accommodations under the Americans with Disabilities Act (ADA) and Fair Housing Act.
  • Experience working in conference/event management, college or university housing, or professional office administrative setting.
