Position: Admission Office Assistant

20hours, 9 months (September to May)

Reports to: Associate Director of Admission Events

OCCUPATIONAL SUMMARY:

The Houghton University Admission Office strives to inspire prospective students and parents to choose Houghton
through personalized, authentic, and compelling outreach within a Christ-centered culture of continual learning,
creativity, and collaboration. The Admission Office Assistant plays a vital role in fulfilling this mission through
support of the Admission Office.

ESSENTIAL FUNCTIONS:
Reception Desk

  • Greet anyone coming into Fancher Hall with warmth and confidence
  • Informing the appropriate member of the Admission staff by phone when someone has arrived
for an appointment
  • Welcoming visitors to campus, explaining to them, in detail, the content of their visit schedules
and answering the questions they may have
  • Informing the Visit Office Coordinator if visitors have a concern
  • Handle outgoing, incoming and return mail including seasonal mailing projects
  • Keep the Admission Office waiting area in good order
  • Data entry with training on Slate (admission database)
  • Providing answers for prospective students and their families concerning the visit process and
about specific visits either by phone or email
  • Coordinate, organize, and oversee usage of office resources, including displays and travel supplies
  • Assist with projects assigned by VP
  • Monitor budgets for the relevant offices as requested
  • Assist with planning for special events
  • General administrative tasks
  • Perform other duties as assigned
Visit Office
  • Receiving calls from prospective students and their family members requesting visits to Houghton
University
  • Assist with organizational tasks for the Visit Office
  • Assist with on-campus admission events as necessary
  • Assist in the arrangement of personalized visit schedules based of the requests of an individual or
group
  • Communicating with Houghton University faculty, staff and administrative offices by email and by
phone to arrange class visits and appointments for information sessions, as necessary


SUCCESS PROFILE:
Individuals ideally suited for this role will exhibit the following competencies:

  • Ability to connect warmly and respectfully with new people
  • Strong Communication Skills (face-to-face, written and phone)
  • Good organizational skills
  • Positive outlook on Houghton University and your experiences here
  • A fair amount of knowledge about Houghton University (its history and programs, both academic
and co-curricular)
  • Attention to detail while accurately performing tasks through completion
  • Ability to work independently

MINIMUM REQUIREMENTS:

  • Bachelor’s degree preferred
  • Experience in settings involving customer service, with an organizational background
  • Computer skills (Office Suite, Slate, Outlook)
  • Interpersonal communication skills including oral, written and presentational
  • Adaptability to various situations
