Assistant Director
Job description
The ideal person for this position has a love for seniors, enjoys leading and managing people, and has a strong understanding of caring for aging issues, dementia, Alzheimer’s disease, and associated memory issues.
The position is responsible for assisting in the management of the Assisted Living program at Inspirations of Lutherville and directs activities of the staff and contracted service providers on behalf of the community. The community provides its residents with services and amenities to deliver a quality living environment that meets or exceeds all applicable standards, regulations, and policies including COMAR Chapter 14 on Assisted Living Programs. The Assistant Director is expected to assist as necessary to ensure that staff is informed and properly supported at all times.
Duties and Responsibilities:
Medications
- Follows up with Lead CMT to monthly cycle medications from the pharmacy, to ensure there is always an adequate supply of medications.
- Works with Lead CMT directly with families to make sure that medications are brought in on time to be bubble-packed if they are using bottled medications.
Resident’s Charts
- Prints off EMARS at the end of the month to file in resident’s charts
- Follows up with Lead CMT that chart material is being thinned as needed
- Makes sure monthly weights are done and charted in ICM. Notes if there is any weight loss/gain of 3 or more pounds for the delegating nurse
- Assists Director if needed in family meetings to discuss clinical information
Service Plans
- Assists the Director with updating Individual Resident Service Plans and helping staff follow plans of care.
Weekly Practitioner Visits
- Helps Director with weekly practitioner visits
- May require walking around with the practitioner to take notes.
- Follow through with any new orders
- Document visits from the practitioner in progress notes
- Notify families of practitioner recommendations
Weekly Labs
- Keeps track of when labs are due and follows up with Lead CMT
- Fills out weekly lab sheets and faxes them to lab
Ordering of supplies
- Medical supplies; i.e. wound care, gloves, wipes, activity, etc. Assists Director as needed.
Keeps Employee files up to date
- Keeps a list of employee file requirements and makes sure it's up to date
- Keeps a list of employee certifications and licenses and coordinates with Margie when employees need updates to ensure all employees are compliant
- Scheduling - utilizes our scheduling app, updating each employee’s schedule, callouts, tardiness, PTO, etc.
- Payroll - Submits employee hours every Monday, bi-weekly
Assist Director with keeping facility current with all environmental requirements
- Checks water temps monthly and keeps a monthly log- Wellness office & Dietary.
- Helps Director to ensure grounds look clean and attractive
- Logs disaster, fire, & elopement drills
Marketing
- Greet prospective resident families appropriately and answer questions they may have, taking notes to share with the Director.
- Tour prospective families
- Assist Director in preparing for move-ins, including documentation, resident agreements, arranging for room turnover, etc.
Assist Director with Disciplinary action of employees
- Correcting an employee if they are not following proper protocol or guidelines
- Sitting in on disciplinary action of employees
Weekend/Evening/Night On Call
- Assist on weekends, evenings, or nights if needed to ensure the quality of care in the community
Activities
- Assists with the Activities Committee in planning activities & outings
- Creates a monthly activity committee meeting date & time
- Drives our company bus to various outings/events
- Ensures the activity board is filled in by a staff member daily
HR- Hiring
- Assists Director with selecting relevant resumes from candidates, and interviewing for open positions that may be available
- Assists the Director in maintaining an Employee File for each employee, ensuring contents are up to date
Knowledge, Skills, and Abilities:
- Excellent computer skills including the use of the Microsoft Office Suite within a server-based environment, and online applications.
- Ability to learn and work with any new computer software applications.
- Strong written and verbal communication skills.
- Comfortable communicating and working with people at all levels and with senior residents in a positive and professional manner.
- Ability to taste and smell food to determine quality and palatability.
Qualifications:
- Training in CPR and first aid
- Has successfully completed dementia training
- Experience preferred to include at least 5 years as a CNA/CMT in a similar environment.
- Must have or complete Assisted Living Manager Certification within 1 year.
Physical Requirements:
- Must be in good general health and demonstrate emotional stability in order to cope with the mental and emotional responsibilities of the position.
- Must have the ability to walk, stand, sit, and bend intermittently.
- Must have the ability to lift and move approximately fifty (50) pounds.
Job Type: Full-time
Pay: $18.00 - $25.00 per hour
