The School of Literatures, Cultures & Linguistics (SLCL) is searching for an Assistant Director of Human Resources to direct and oversee the School’s human resources activities in support of the academic missions of the School.
Duties & Responsibilities
HR ADMINISTRATION
- Hold responsibility for the human resources operations for the SLCL, providing guidance to the Director, the executive officers, faculty and staff in human resource related matters
- Serve as a resource for all matters related to human resource administration in the SLCL and advise on HR related topics including policy development and implementation; interpretation of University policies, processes, and procedures; and personnel related situations that occur within the SLCL.
- Train and provide information to faculty, staff and supervisors on HR changes that have occurred both in the school and at the college/campus level
- Oversee all processes related to employee life cycle
- Review all requests for paid and unpaid leaves, lump-sum payments, service in excess, separations, academic vacation/sick leave processing, rehiring retirees
- Primary Search Coordinator for tenure track faculty searches. This includes responsibility for developing, maintaining and updating search templates and processes within SLCL and to coordinate the search and hire process, including but not limited to; pre-search approval documentation, JDXpert /CSOD routing and approvals, search committee coordination, job postings, answering applicant questions, on-site interview coordination, and proposed hire approval paperwork, issue offer letters in conjunction with SLCL Director.
- Monitor appointments for Notice of Non-reappointment needs.
- Oversee the Specialized Faculty reappointment process.
- Provide guidance/recommendations on various appointment requests.
- Implement and oversee the collection and retention of leave benefit usage (VSL and Banner) and provide guidance on leave benefit matters including the processing and administration of the Family and Medical Leave Act (FMLA)
- Serve as the School's primary liaison with the College and the campus academic human resources offices; Office of Access and Equity; University Legal Counsel; University Centers (such as Title IV designated centers); other academic departments; International Student and Scholar Services; and the payroll and benefits offices. Represent the School on campus committees that pertain to human resources functions as requested by the Director, the College, or the Campus.
- Work with the Director of SLCL to coordinate staffing levels as needed (due to vacation, leaves, vacant positions) to ensure essential departmental functions continue. This includes identifying current staff to cover functions temporarily through extra help or other options as needed.
- Hire, supervise, train, and evaluate staff in the HR office
APPOINTMENTS
- Oversee compliance with all employment actions; provide timely attention to offers, salary approvals, appointments, title changes, classification/reclassification, separations, summer appointments, joint appointments; biweekly time entry and approval related to civil service, graduate, and undergraduate hourly employees.
- Provide assistance throughout the School by interpreting and applying University policy, procedures, and processes addressing issues including but not limited to updating of position descriptions, annual performance reviews, and the creation and monitoring of employee disciplinary plans.
- Oversee and coordinate the visa application process for visiting scholars, H1B visas and permanent residency requests. Provide guidance and interpret policies and procedures related to visas. Work with the International Student and Scholar Services (ISSS) office with issuances of visas.
LABOR & EMPLOYEE RELATIONS
- Oversee compliance with a wide range of human resource related issues including Civil Service Policy and Rules, Provost Communications and the appropriate Collective Bargaining Agreements.
- Provide guidance and oversight for compliance-related activities under the ADA, FMLA, FLSA and other federal and state labor laws and university policies.
- Provide advice to the Director, Executive Officers and supervisors in negotiating and resolving sensitive and controversial employment related issues; discipline matters. Provide guidance to faculty/academic/student/staff members who wish to discuss confidential personnel matters.
- Assist with grievance responses and coordinate meetings with staff/students/faculty and union representatives and Illinois Human Resources in conjunction with LAS HR.
POLICY ADMINISTRATION
- Work to conduct research, interpret findings, and makes recommendations to the Director of the SLCL for various HR-related appointments, policies and practices given the complex and interdisciplinary structure of the School.
- Interpret and apply policies and procedures for all human resource functions. Maintain and disseminate current information on personnel policies.
- Monitor compliance for all human resource policies according to Federal, State, and University policies and regulations. Working with the Director's office and the College HR office, responsible for development, implementation and maintenance of all School-wide policies related to human resource administration.
- Coordinate the development and implementation of software and web-based tools to enhance the processing of required human resource transactions
REQUIREMENTS
Required Qualifications
- Bachelor’s degree in Human Resource Administration, Management, Organizational Administration, Public Administration, Labor Relations, Business Administration or a field closely related to the position.
- Three years of work experience performing professional-level human resource duties, including one year in a university setting.
Preferred Qualifications
- Advanced degree in a field directly related to human resources.
- Professional-level human resource experience with labor and employee relations and employment visas.

- Familiar and comfortable with pertinent areas within the University’s Statutes and The General Rules Concerning University Organization and Procedure, Provost’s Communications, Campus Administrative Manual Personnel Policies, State Universities Retirement System guidelines, and relevant current federal and state rules and regulations.
- An in-depth understanding of the university’s guiding principles related to academic appointments.
Appointment Information
This is a 100% full-time Civil Service 5020 - Human Resource Associate position, appointed on a 12-month basis. The expected start date is as soon as possible after the deadline date. Salary is commensurate with experience.
