ROLE SUMMARY
Join our team as an Assistant Front Office Manager and become one of the authors of our story. As part of the Auberge family, you will be responsible for continually improving guest and team member satisfaction while providing guidance and day-to-day management of the guest services team and all guest experiences.
KEY RESPONSIBILITIES
- Organize and ensure efficient management of the Guest Services team.
- Lead and manage the guest experience from pre-arrival to post-departure.
- Supervise check-in and check-out procedures, rooming, phone, and email handling, providing direction to the team members.
- Lead the team with a hands-on approach, ensuring the correct completion of all required tasks in a timely fashion.
- Ensure that all Auberge and Forbes policies and procedures are properly understood, implemented, and monitored.
- Ensure the team is fully knowledgeable about the hotel facilities and its services, as well as all experiences and local events.
- Handle guest complaints and comments, ensure follow-up when escalated, and provide high customer care, taking appropriate action to resolve any dissatisfaction.
- Assist Operations Director and Rooms Division Director with verification, maintenance, and analysis of Opera and Unifocus.
- Ensure daily and monthly reports are accurately issued and distributed to all departments.
- Ensure guests’ history and preferences are correctly collected, distributed, and recorded in Opera, Open Table, and SpaBiz.
- Create weekly staff schedule, adhering to budgeting standards.
- Monitor and order guest and operating supplies while controlling departmental costs.
- Engage positive communication and relationships with guests, management, and team members, working closely with housekeeping and engineering, and coordinating teamwork as necessary.
- Supervise the correct Opera PMS procedures are in place, conducting regular departmental training on-the-job as required
- Maintain close and efficient communication with both the housekeeping and maintenance teams.
- Ensure all Guest Service equipment is well-kept and in good working order.
Perform other job-related duties as assigned.
REQUIRED QUALIFICATIONS
Minimum of one year in a luxury boutique hotel, front desk experience preferred. Experience in a supervisory or management-level position Excellent computer knowledge. Background in Opera PMS preferred. Able to communicate efficiently with all employees and guests. Confidence to perform under pressure. Self-motivated, enthusiastic and customer-oriented Must be able to inspire, motivate, develop talent, and lead by example.

- Appearance must be clean and professional with a cheerful and courteous demeanor at all times.
- The position requires interactions with Guests as well as with members of staff and the management team.
- Able to work on a flexible schedule, including weekends and holidays, according to departmental and operational needs.
