Position Focus:

The MD/PhD Program manages the selection and training of MD/PhD students at Yale. The Program provides specific training, coursework and advising to students, and works with medical and graduate schools to ensure that students meet requirements for both MD and PhD degrees.

The Associate Director for Program Administration will report to the Director/Deputy Director. They will maintain a comprehensive understanding of the academic, administrative and fiscal requirements and regulations pertinent to the progression of MD/PhD students through the dual-degree Program. They will use this knowledge to ensure that MD/PhD students progress through training with optimal outcomes and in the shortest time-to-degree.

Specifically, they will: Work in partnership with the Director, faculty, staff, students, and service providers to develop and implement the Program’s strategy to achieve its mission; understand and monitor external and internal factors influencing the Program’s mission and goals; plan for financial and non-financial resources required for the Program to achieve its goals. Implement and maintain strong internal controls for effective and appropriate resource use, adherence to contractual obligations and agreements, policies, procedures, and external regulatory requirements. Identify, communicate, address and escalate risks in a timely manner to protect Program assets, resources, information and reputation. Manage mid- to long-term projects of the Program. Direct and implement solutions to problems that are routine to complex in nature and that affect multiple functional areas of responsibility; collaborate with others across the University who participate in MD/PhD student training to address and resolve such problems as appropriate. Evaluate Program activities to maximize efficiency/minimize redundancy of effort across schools and departments; establish procedures and policies to achieve such efficiencies. Effectively represent Program needs, challenges and opportunities at the University level. Proactively share knowledge and best practice with others. Manage IDP based student advising within the MD/PhD Program. Identify, implement and oversee systems to gather, track and report information to support the initiatives of the program. Track all program activities and regularly inform leadership of progress on each initiative. Recommend programmatic adjustments, changes or additions based on full knowledge of Program missions, goals and objectives. Review student spending requests for alignment with program mission and approve as appropriate. Collaborate with Director, G&PA and business office to determine program budget. Direct staff to ensure the Program retains and develops talent. Ensure that all staff participate in the University’s performance management and career development processes. Cultivate diversity of backgrounds and perspectives.

Essential Duties

1. Directs, monitors, and assesses needs and directs the application of resources of an administrative University office dealing with one or more major functional areas. 2. Directs and implements solutions to problems that are routine to complex in nature and that affect multiple functional areas of responsibility. 3. Plans and/or participates in planning University activities on a long-term basis to comply with University goals and objectives. 4. Establishes and implements consistent university-wide policies in multiple functional areas of responsibility. 5. Ensures that University office policies and procedures are in compliance with federal, state, and local laws and ordinances. 6. Develops and monitors goals and objectives for managerial and professional staff in compliance with University strategies. 7. Directs a staff of exempt and non-exempt employees. 8. May perform other duties as assigned.

Required Education and Experience

Bachelor’s Degree in related field and six years of experience or an equivalent combination of education and related experience.
