Required Qualifications

Associates degree.High School diploma plus two years’ experience may substitute for an associate’s degree

Experience relevant to the responsibilities of the position.

Ability to meet the occasional travel demands of the position. A valid NYS driver's license and ability to drive and driving record acceptable for agency insurance coverage are required.

Administrative Skills: Ability to work under pressure and organize work into priorities with emphasis on effective time management. Able to use good judgment in analyzing facts and circumstances. Ability to work with a high degree of integrity, sound professional judgment, and the ability to handle confidential and sensitive information.

Computer Skills: Proficiency with windows-based software including use of the internet and Microsoft Office Suite including Outlook, Word, PowerPoint, Access, Publisher, and Excel. Knowledge of or ability to learn basic IT related skills (rebooting system, etc.).

Communication Skills: Ability to communicate effectively both verbally in and in writing. Ability to read and interpret documents such as instructions and procedure manuals.

Experience with web site maintenance and Facebook.

Knowledge of accounting and record-keeping procedures for Extension programming.

Knowledge of Cooperative Extension department programs.
Position Responsibilities & Essential Functions
Administrative Responsibilities:
Direction – 5%
-
Assist supervisor in planning events, meetings, administrative functions, etc.
Management – 10%
-
Assist in managing assigned tasks, data, events, meetings, etc.
-
Solve problems and resolve conflicts using existing policies and procedures.
Coordination/Operation – 80%
-
Receive and greet customers and providing information on programs and events.
-
Maintain pleasant relationships with the public through a variety of contacts – walk-in office visitors, telephone, e-mail, and written correspondence.Direct callers and visitors or provide basic information about programs and events.
-
Maintain 4-H enrollment database using spreadsheet applications and database management tools. Perform word processing and desktop publishing to create, edit, format, and produce brochures, reports, office forms, newsletters, directories, correspondence.

Prepare various educational materials and coordinate event registration.
-
Perform routine data collection and compilation.
-
Handle general record keeping, such as preparing vouchers, and recording deposits.
-
Assist with preparation of program support material as requested by staff.
-
Maintain and update website calendar and/or social media content related to the association programs to ensure current and timely news and information.
-
Coordinate and maintain scheduling of rooms/facilities for meetings and events. Assist with arrangements for refreshments, clean-up, etc.
-
Collect, receive, and reconcile event and program receipts and monies. Prepare documentation related to program expenses or payments as directed.
-
Operate basic office equipment including copiers, computers, projectors, calculators, postage meters; and other office equipment deemed as necessary. Trouble-shoot minor problems utilizing user/operation manuals and/or may call for more complete repairs.

Assist staff and/or regional IT staff with installation, updates, and maintenance of software related to Association printers. Serve as a contact for rebooting network router if/when needed.

Work in collaboration with administrative staff to provide general office and reception support as necessary/required.

In cooperation with Supervisor and/or Executive Director, jointly develop and pursue a professional development plan as a means to increase competencies relative to position accountabilities and to address changes and Association priorities.

Collaborate in activities that are in general support of Cornell Cooperative Extension and perform other duties as assigned.

Position Details
