POSITION DESCRIPTION
Title: Clerk of School Board/Payroll Clerk
Reports To: Division Superintendent/Director of Finance
FLSA Status: Nonexempt
Summary: To ensure the smooth and efficient operation of the Central Office with respect to all duties which may be assigned the Clerk of the School Board/Payroll Clerk.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
1. Attends and records the minutes of all School Board meetings, regular and special, and keeps the original copy of all Board minutes in a bound volume available for inspection upon request.
2. Prepares correspondences for the division superintendent as authorized by the School Board at each meeting.
3. Executes all official documents of the School Board, and serves as the FOIA Officer for the school division.
4. Prepares and issues the semi-monthly payroll.
5. Prepares the annual Virginia Employment Commission report and submits to officials with necessary payment.
6. Prepares the annual W-2 forms for all employees and the monthly premium statements to insurance companies for payroll deductions, making all corrections, deletions, and additions.
7. Prepares monthly reports pertaining to the Virginia Retirement System.
8. Responsibility for maintaining of a filing system on all materials handled in the course of executing duties of the Clerk of the School Board/Payroll Clerk.
11. Prepares and distributes FOIA information as approved by the Superintendent.
12. All other duties as assigned.

EDUCATION and/or EXPERIENCE (preferred)
1. Has an Associate degree with experience in business
2. Has the ability to operate various software programs
3. Possesses experience in clerical office work and a general knowledge of bookkeeping and payroll procedures
4. Has the ability to record the minutes of the School Board meetings accurately.
5. Has the ability to establish and maintain effective working relations with all school employees as well as the general public, and to meet the public in an efficient and cordial manner.

TERMS OF EMPLOYMENT
Twelve-month employment. Salary to be determined by the School Board.

Performance of the position will be evaluated annually in accordance with the provisions of the Prince Edward County School Board’s policy on evaluation of classified personnel.
