This job is a fulltime, benefited, FLSA Exempt - Administrative position in the College and Institutional Advancement Division that reports to the Executive Director of Institutional Advancement.


Salary: Targeted salary is commensurate with education and experience not to exceed the budgeted amount of $50,000 per year.

Bachelor’s degree in related field *and* Two (2) years related work experience

Preferred Qualifications:

In addition to the minimum qualifications, Prior experience in fundraising or development work is preferred; a demonstrated record of success in a related career field is preferred. Knowledge of Generally Accepted Accounting Practices and Principles; knowledge of non-profit accounting practices and principles would be an asset; highly proficient with Blackbaud Financial Edge platform and scholarship administration software; comfortable working with new technology and systems; strong verbal and written communication skills; excellent multi-tasking abilities; high level of discretion required when dealing in confidential matters.


Exceptional interpersonal skills with all ages are required, including students, faculty, staff, donors and Foundation Board. Strong written and oral communication skills are required. Proficiency with Microsoft Office products is required. Database management experience is preferred. Must be detail-oriented and have excellent follow-through and planning abilities; must be able to manage deadlines.


Job Description Summary:

Foundation finance coordination is responsible for professional accounting work including journalizing transactions, analyzing and verifying fiscal records and reports, preparing financial and statistical reports, reconciling general ledger accounts, budget management, and the preparation of the year-end audit reports and schedules. The primary purpose of this role is to manage the day-to-day financial activities of the Foundation, including book-keeping, vendor management, budget reporting, and preparation of financial statements; resolving discrepancies; financial or management reporting; maintaining the chart of accounts; establishing new funds; monthly financial reporting, analysis and reconciliation of the development and financial system including tracking of gifts.


Scholarship coordination responsibilities include management of scholarship donor agreements, determining the amount of Foundation scholarship awards, monitoring compliance with donor agreement guidelines and propose changes to guidelines when appropriate in order to award scholarships, serves as a liaison with the Business Office, Office of Student Financial Aid and scholarship committees on campus to facilitate communication and reports on privately funded scholarships.

Scholarship Coordination

  • Provides oversight and supervision of Gwinnett Tech Foundation (GTF) scholarship program by auditing documentation of existing Foundation funds to ensure all donor agreements conform to GTF policy, and monitoring active scholarship accounts to ensure that scholarships are awarded within established guidelines. Determines the amount of Foundation scholarship awards by evaluating account balances and fund sustainability.
  • Monitors compliance with donor agreement guidelines
  • Coordinates and provides information on the scholarship process and software for designated staff in the Offices of Financial Aid, Recruitment, and Foundation as well as Scholarship Committees throughout campus.
  • Under the direction of the Executive Director of IA, develop and implement policies and procedures to be used by Scholarship Committees in determining Foundation scholarship awards.
  • Serves as a liaison with the Foundation, the Business Office, Office of Financial Aid, and Scholarship Committees across campus by maintaining an accurate list of all scholarship committees on campus, working with the Business Office and Office of Financial Aid concerning student awards and scholarships, and facilitating the flow of financial information to all parties both internal and external of Gwinnett Tech.
  • Coordinates and tracks issue of college bookstore gift cards.

Foundation Finances

  • Maintain the office’s books of accounts and record the Foundation’s transactions in accordance with Nonprofit Accounting Standards and the established accounting policies and procedures of the Gwinnett Tech Foundation. Track all designations of gifts for disbursement to the college and for stewardship/donor relations reporting. Establish and maintain effective accounting policies and internal controls in coordination with the Executive Director of Institutional Advancement and the Board of Trustees.
  • Establishes new funds, process donation journal entries, investigate discrepancies and prepare detailed records and reports as required. Resolve fund related problems and follow up with departments on new projects/funds to be created. Prepares and distributes quarterly fund reports to various departments and appropriate Vice Presidents.
  • Oversees the Cash Management function, including banking relationships.
  • Reconciles donations received and calculation of interest and timely transfer of funds to appropriate accounts. Verifies wire transfers, online bank transfers, and reconciles bank statements on a monthly basis. Process all account payable transactions and prepares check payments for signatures. Processes all Accounts Receivable for the Foundation and ensures proper billing procedures are functional and operational.
  • Develops cash flow forecasting and maintain a long-term cash forecast.
  • Prepares journal entries and reconciles general ledger and subsidiary accounts; prepares monthly financial statements, including quarterly reports to the Board of Trustees. Reconcile all pending accounts on a monthly basis. Manage the chart of accounts.
  • Assists in creating, monitoring and updating financial related policies and procedures. Develop and oversee accounting policies and procedures to meet both current and future business models.
  • Undertakes budget monitoring activities; assist with budget revisions and preparation of the annual budget; Process all Office of Development purchasing for equipment, supplies and special requests and apply transaction to department budget for record keeping. This involves knowledge and selection of appropriate purchasing procedures, preparing, filing, following up on all associated requisitions, purchase orders, related paperwork, vendors, and maintaining detailed hardware, software, license agreements, and other information.
  • Monitor and appropriately classifies donation revenue, accounts for restrictions appropriately, and manages the tax receipting process.
  • Maintain appropriate documentation and files as support for all transactions; responsible for entering all gifts and donor designations into Raisers Edge.
  • Ensure that Foundation registration or permit renewals are completed as well as in compliance with all internal policies and relevant regulations and ensure filings are completed in a timely manner.
  • Assist the external auditors in the year-end audit of the financial statements by preparing schedules or accounting reports needed. Ensures that all tax filings are sent to appropriate government agencies by established deadlines.
  • Compiles relevant information for preparation of the financial section of the annual report.
  • Responsible for the management of the Foundation’s Insurance and Risk Management program and the annual insurance renewal process and ensure appropriate coverage is maintained at all times.

  • Facilitate good donor relations by representing the college at functions and meetings as assigned and working with donors and potential donors, students, friends, alumni and various constituencies of the college to strengthen their ties to Gwinnett Technical College.
