Reporting to the Vice President, Athletic Development / Senior Associate Athletic Director, and as a member of the Our Beaver Nation team, this position provides administrative and program support of the fundraising efforts of the Our Beaver Nation team of the Oregon State University Foundation.

The successful candidate will be required to show proof of being fully vaccinated against COVID-19 prior to the first day of employment.

Work Location

The work location for this position is Gill Coliseum where OSU Foundation’s athletic development staff (Our Beaver National) is based.

Measures of Success

  • Become a productive and trusted member of the assigned work team and the OSU Foundation community.
  • Ensure high-quality administrative and program support is provided to the Vice President of Development and Our Beaver Nation team.
  • Ensure Our Beaver Nation and the OSU Foundation are represented professionally with external and internal constituents including contact with vendors, donors, volunteers, and internal and external partners.
  • Ensure collaboration and strategy through effective use of data—entry, sharing, requests, analysis, and reporting.

Major Duties

Actively partner to execute the day-to-day activities of the Vice President including managing schedule/calendar and overall development support.

Input data and pull reports into multiple database systems including CRM and Paciolan.

As assigned, partner to execute any number of OBN projects designed to enhance the engagement of donors to OSU athletics.

Be an active and contributing member of the OSU Foundation program coordinator cohort.

Provide superior service to executive staff of the athletic director and operations staff of each team inside the department.

Offer guidance and day to day support for OBN interns.

Provide professional and knowledgeable response and assistance, as needed, to donors, guests, and visitors who frequent Gill Coliseum.

At times, assess the needs of individuals making contact and determine the appropriate staff in the organization or department to respond to inquiry.

Provide general support to the Our Beaver Nation staff including executing gift agreements, timely expense reconciliation, administrative support for Our Beaver Nation board and other duties.

Ensure proper and timely processing of all incoming and outgoing mail:  Ensure daily pick up of stamped or metered US and inter-campus mail; prepare campus mail for daily pick up and receipt delivery;  prepare Fed Ex and overnight express mailings; receive locked mail from campus security on a daily basis, and, in return, include pledge cards, donation, gift agreements, and any mail for Foundation employees housed at the main Foundation for return delivery; sort and disburse received US mail and inter-campus mail to individual mail boxes.

Provide game day information, tickets, and passes for visiting AD and administration.

Process assigned invoices for payment; prepare required paperwork for authorized signatures; submit check requests for payment.

Receive supply requests and prepare orders for staff.  Maintain appropriate level of inventory of frequently used supplies.

Assist with events, as needed.

Perform other duties as assigned by the Vice President.

Required Knowledge. Skills and Abilities

Comprehensive knowledge of:

  • The mission and purpose of the OSU Foundation
  • The workload and work needs of assigned Development Officers

Proven skill in:

  • Proficient use of computer software, including Word, Excel, PowerPoint, and Outlook
  • Excellent written and verbal communication skills to both internal and to external audiences.

Ability to:

  • Handle interpersonal relationships maturely, thoughtfully, and empathetically, including the ability to work with individuals from diverse backgrounds
  • Maintain the highest level of discretion and confidentiality at all times.

Minimum Qualifications

Four-year degree and three years of experience as an administrative assistant or related administrative experience using similar knowledge skills or abilities.  Education and experience equivalencies will be considered. Candidates must possess a valid driver’s license and must be able to travel by varying modes of transportation and be willing to work occasional weekends as needed.

Pay: $42,000.00 - $45,000.00 per year
