Job Title: Lead Client Services Associate

Reports To: The Lead Client Services Associate will report to the Client Services Supervisor, Client Services Manager, or equivalent leadership.

Job Overview:

The Business Services Team Lead role is an integral part of day-to-day office activity. The primary functions of the role are to lead the work of supporting the retirement bank and act as the main print & fulfillment operator.

Key Responsibilities:

  • Monitor the team email inbox and respond to inquiries from the bank and clients requesting print work.
  • Own print & fulfillment activity:Respond to document printing requests.

Ensure that print requests are completed accurately and within client time needs.
Print documents.
Bind printed documents as requested.
Perform mail merge to add addressing to documents as requested.
Package documents as required to arrive in pristine condition at their destination.
Apply postage or shipping labels
Maintain detailed log of print activity for billing purposes.
Perform light maintenance of printing equipment- change depleted toner cartridges, clear paper jams, schedule routine preventative maintenance with print technician, etc.

  • Lead the daily bank check distribution efforts:Interact with bank personnel.

Lead team in creation of shipping labels.
Coordinate delivery of labels to bank.
Coordinate pickup of outbound envelopes from bank.
Ensure outbound envelopes are scanned in package tracking system.

  • Maintain inventory of print & shipping supplies to ensure that daily needs are always met.
  • Perform quality control checks on all activities within assigned areas of responsibility.
  • Ensure that team work areas are organized, clean & free of safety hazards.
  • Assist with other mail & print center activities outside of core responsibilities as required by operational conditions.
  • Provide high-quality customer service to all clients.
  • Work with manager to ensure that staffing needs are met.
  • Communicate clear instructions to team members.

Qualifications:

  • 2 years of office support experience required.
  • 1 year of lead or supervisory experience required.
  • Ability to learn skills quickly.
  • Working knowledge of Microsoft Office products pertaining to the specific position including but not limited to Word and Excel.
  • Ability to navigate internal software programs.
  • Reading, writing, and arithmetic skills required.
