Under direct and indirect supervision, the Scheduling Coordinator will answer all incoming calls for nine dental offices. The Scheduling Coordinator will be responsible for scheduling appointments, canceling appointments, and filling the schedule according to Tots to Teens scheduling guidelines. This position will provide support to both patients and the practices, to ensure best practices and patient care. The Lead Scheduling Coordinator will assist the Patient Services Manager in the evaluations and performance reviews of Scheduling Coordinators, and distribution of workload and/or changes in protocols.

WORKING CONDITIONS/PHYSICAL REQUIREMENTS

  • Standing 5%.
  • Sitting 95%.
  • Moderate noise levels from surrounding team members
  • Business office setting
  • Minimum moving requirements of 25 pounds in order to transfer supplies in office after delivery
  • Constant patient and interoffice personnel interaction as this position is heavily dependent on excellent customer interaction.
  • Exceptional hand dexterity and typing skills to work with standard software programs provided.
  • Hearing – Must be able to hear telephonic equipment and comfortably communicate with patients and others by telephone and in person.
  • Near Vision—the ability to see details at close range (within a few feet of the observer) as view the computer screen daily
  • Physically able to climb up and down two flights of stairs multiple times a day as needed

RESPONSIBILITIES

  • Excellent computer skills and ability to use practice software systems
  • Memorize and use scripts effectively over the phone
  • Manage the schedule according to the appointment scheduling guidelines and ensure all hours are schedule efficiently and to production goal
  • Schedule, change, and/or cancel appointments using the Open Dental Software
  • Obtain all pertinent information for the appointment to include insurance information
  • Notate all calls in Open Dental Software appropriately
  • Leave messages and relay information to offices and other departments accordingly
  • Make confirmation calls and utilize Lighthouse as needed
  • Contact all missed appointments patients to reschedule
  • Apply correct dental codes to all appointments to coordinate with insurance
  • Generate recall and treatment lists to fill the schedule
  • Knowledge of Medicaid guidelines and ability to verify eligibility via web portals
  • Maintain regular attendance and adhere to assigned work schedule and office policies
  • Maintain communication with offices and other Patient Services departments i.e. chat, email and phone
  • Must always represent the practice and company in a professional, pleasant, and cooperative manner
  • Learn to operate new office technologies/protocols as they are developed and implemented
  • Must be able to work both independently and cooperatively in team settings
  • Occasionally there may be some travel, by car or plane, required in order to participate in continuing education or seminars
  • Other duties and tasks, as assigned periodically

REQUIREMENTS

  • Always maintain the highest level of confidentiality to HIPAA standards.
  • Adhere to strict safety guidelines and procedures to OSHA and office standards.
  • Adhere to all office policies
  • Excellent interpersonal skills to maintain positive rapport with patients and other team members
  • Effective verbal skills to communicate clearly and professionally with patients and staff
  • Must be detail oriented in order to work efficiently
  • Must be flexible and understand that job duties and work schedule may change depending on the needs of the company
  • Must demonstrate active listening by giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
  • Must demonstrate good reading comprehension by understanding written sentences and paragraphs in work-related documents.
  • Ability to type 45 words per minutes

QUALIFICATIONS

  • High School Diploma or GED Certificate.
