Posting Summary
Rutgers, The State University of New Jersey is seeking a Department Administrator in the Institute for Health, Health Care Policy & Aging Research. Under supervision of the CFO & Director of Business, this position will be responsible for leading, managing and coordinating the effort recording process, administrative and operations relating to HR system management through onboarding, payroll and financial analysis.

- Provides financial support to the CFO by running financial reports relating to salaries and effort reporting.
- Responsible for recording effort for the IFH Centers and provides updates as needed. Works with the grants team to ensure effort allocation matches with grants.
- Sends out reminders and tracks ECI for IFH and works with other schools to record effort on IFH projects.
- Responsible for development of ECI tool and tracking system.
- Records salary allocations during budgets into Workforce to capture budgeted effort for IFH and its centers
- Assists in development of business processes and financial analysis to ensure operational goals, objectives and strategies are met.
- Streamlines existing process and recommends process improvements.
- Manages the HR system for entering job postings, researching positions, working with HR through the process resulting in offer letters and working with Global on Visas. Prepare, review and work with new hire from onboarding.
- Records hourly payroll into the system ensuring all sheets received prior to the payroll deadline. Entering timesheets monthly for all staff within IFH utilizing the Absence Reporting System.
- Participates in meetings with the Business Department & all pertinent meetings with University Finance, trainings, and committees.
- Back-up for procurement & expense reports.
- Other duties as identified within the Business Department to support the Institute & it’s Centers.

Consistent with the current application of Rutgers Policy 60.3.22, this position may be eligible for a hybrid work arrangement. The flexible work arrangements outlined in Rutgers Policy 60.3.22 are part of a pilot program that is effective September 1, 2022 through August 31, 2023. Therefore, there is no guarantee that this flexible work arrangement will continue beyond that date. Minimum Education and Experience
- Bachelor’s Degree in Finance, Accounting or a related field, or an equivalent combination of education and/or experience.
- Two (2) years of relevant experience in related fiscal activities.
