The Development Officer, Planned Giving will provide critical support to the Managing Director and Director on the Planned Giving team benefiting the overall success of the Planned Giving team, including administrative support, handling travel arrangements, processing business expenses, and coordinating meeting preparations for the team. The Officer will also assist the Director with the administration of the trust and estate program.
The ideal candidate will be a self-motivated, organized and detail-oriented person capable of juggling multiple priorities. The Officer will have the creativity to implement process improvements, strong organizational skills, a proactive approach, and enjoy working in a fast-paced, team-oriented environment.

Planned Giving Specific Duties and Responsibilities:
- Collaborate with the Director, Planned Giving to support the administration of trust and estate gifts to the hospital including drafting correspondence to attorneys and advisors, reviewing estate accountings, coordinating signatures on estate-related documents and maintaining legal files.
- Manage the coordination, logistics and follow-up of a variety of standing meetings, such as: bi-weekly team meeting; data reviews and monthly legal counsel.
- Interact with Mass General and Mass General Brigham departments including medical staff; Office of General Counsel, MGH Finance, MGB Enterprise Development, Investments and Real Estate groups.
- Participate in the Planned Giving phone line coverage and closely monitor the Planned Giving inbox to ensure appropriate coverage and response.
- Assist with special projects and events as needed such as one-off mail campaigns, Chair celebrations or other events.
- Represent the Planned Giving team at regular meetings of the Management Support Professionals (MSP).
Principal Duties and Responsibilities:
- Manage the calendars of the Managing Director and Director, proactively and independently handling the logistics of meetings, appointments and presentations (agendas, minutes, PowerPoint, etc.) with minimal guidance.
- Develop a strong working knowledge of planned giving vehicles and use of PG Calc software.
- Produce correspondence and briefings, stewardship deliverables and other written materials independently.
- Manage all aspects of business travel, including proactively troubleshooting and resolving potential logistical or policy conflicts, and prepare accurate and thorough travel itineraries.
- Submit employee expenses and vendor payments using the appropriate procedures.
- Create systems, track and inform the team about pending reports, engagements and other stewardship actions scheduled for donors and prospects.
- Conduct other basic prospect identification activities, working with the prospect research staff to collect relevant information about donors.
- Gather and record information in Blackbaud CRM; complete gift booking forms in a timely manner providing thorough information and gift backup for the preparation of acknowledgement letters with minimal guidance.
- Attend portfolio reviews with gift officers and helps manage the tracking of cultivation, solicitation and stewardship activities and projects with an advanced understanding of the portfolio and ongoing gift situations of the supported individuals.
- Serve as liaison for planned giving to other members of the Development staff on an as-needed, as-available basis.
- Actively participate in professional development, especially related to best practices in planned giving.
- In person, by phone and through written correspondence, use sensitivity, good judgment and overall standards of excellence in communicating with patients, donors, physicians, hospital leadership, and others internal and external to the hospital.
- Respect and protect confidential information.
- Contribute to a positive office environment, even in the face of high work volume and challenging periods.
- Take on other office-wide duties at the request of Development leadership.

Qualifications
This position requires 2-4 years of experience and a college degree. We are looking for someone who has worked successfully in a fundraising office or as part of a team in a client-facing or relationship-building role.
The ideal candidate will also possess the following skills, abilities and competencies:
- Strong command of Microsoft Office applications.
- Proficiency with Blackbaud CRM or Raiser’s Edge preferred.
