Overview: ROMTech is now seeking an experienced and organized Durable Medical Equipment (DME) Operations Specialist to work cross-functionally with internal teams and external DME contacts to coordinate DME contracts. The core of the role includes owning the onboarding process for our DME partners and ensuring successful partnerships. Training will be a big component of this role, therefore, the ideal candidate will be a self-starter with exceptional execution, follow-up and training skills who thrives within a fast-paced, client centric team.

Responsibilities:

  • Work cross-functionally with internal teams and external DME contacts to take DME partners (once contract is signed) through to operations, using DME partner procedures and processes.
  • Track & report on completion of internal department onboarding steps of new DME partners to ensure no delays in starting a new DME partner.
  • Coordinate with internal teams and DME partners to ensure DMEs are trained on SOPs and understand the correct workflows of ROMTech and device approval.
  • Host initial training sessions with DME point of contacts and any follow-up trainings as needed.
  • Oversee daily operations and communications with DME partners resulting in the flawless execution of delivery of the DME device to approved patients.
  • Act as the main point of contact with each DME partner, including answering day-to-day questions, emails and calls as applicable, with the goal of fostering a successful relationship between the DME & ROMTech over the length of the contract.
  • Manage the DME email inbox.
  • Maintain the required average response time.
  • Create and maintain accurate comprehensive reports that are delivered on-time to each DME partner daily.
  • Delegate tasks based on departmental responsibilities and follow up as necessary on outstanding items.
  • Maintain internal processes between Billing, Customer Service, Legal, Accounting, Business Operations, and Sales divisions, ensuring these are appropriately reflected in DME Onboarding Documents and DME SOPs.
  • Track task completion of DME partners deliverables for device delivery and pickup.
  • Perform risk management to minimize potential risks.
  • Perform other duties for DME Operations and Sales Operations, as assigned.

Requirements:

  • Minimum of 2 years of experience in an administrative role.
  • Experience in a sales, customer service, or account management role preferred.
  • Familiarity with Dr. Chrono or other EHR/EMR systems, preferred.
  • Familiarity with Odoo or other ERP systems preferred.
  • Advanced skills in Microsoft 365 experience including advanced Excel skills (reporting, using formulas, pivot tables, v-lookup, etc.).
  • Strong attention to detail and organizational skills.
  • Strong communication. Ability to effectively and quickly communicate while maintaining friendly relationships with internal teams and external clients.
