Summary:
The Pediatrics Residency Programs continue to grow. This past year, the Pediatric Residency Program has added a new Program Director of Diversity and Inclusion, and three additional Resident Scholar’s Programs. The Combined Internal Medicine-Pediatrics Program has a new Program Director and has added two additional assistant program directors. Since 2015, the Pediatrics House Staff Office has grown from supporting three Program Directors to supporting eleven Program Directors plus the Director of Resident Quality Improvement. The office staff now plays a large role in the recruitment and support of both the Pediatrics Neurology Residency and the Pediatrics Genetics Residency. When a new Director is added, a new initiative in our medical education programs is added. With the increase in educational options for residents, technological advances in virtual intern recruiting, resident activity tracking, marketing and communication for all aspects of the educational programs, and ever increasing ACGME accreditation requirements, physician leadership must depend more and more on non-physician support for residency training programs. Support personnel must be well versed in the comprehensive nature of ACGME (Accreditation Council for Graduate Medical Education) accredited programs and how to assist program leadership in planning, implementing and measuring outcomes of a program built on evidence and outcome based data. This role must understand and recognize adult learning principles and have skills to effectively adapt written and verbal communication in order to reach learners. Excellent communication and writing skills, strong knowledge of Word, Excel, PowerPoint, Publisher, Zoom, Adobe, MedHub, Oracle and more along with the ability to continually adapt and absorb new and challenging tasks are essential for this position. The ability to assess current processes, analyze best practices and make suggestions and recommendations for improvement. This position must have to ability to lead projects by supporting and guiding the Directors and other support staff in successful implementation of new processes. These abilities and skills will effectively “extend” the physician directors’ efforts in coordinating and managing the residency training programs. This position must also be willing to work extra hours and after hours when necessary to help support the Programs many off-campus and off-hour activities. These include but are not limited to graduation banquets, holiday events, wellness activities, off-campus workshops, retreats and advocacy initiatives. The residencies are never closed and this position will assist the Program Manager II in meeting the needs of the residents in this capacity.
Job Duties:
The position must continue to coordinate the critical implementation and expansion of the MedHub Documentation and Evaluation system for Pediatrics and Med-Peds. This requires assuring that all elective requests and rotation schedules for departments, faculty and residents are entered correctly and that appropriate people are asked to complete evaluations at designated times (all are different.) Additionally, this requires that evaluations for each rotation, faculty and resident are being completed and comprehensive reports are presented to the Program Director prior to the quarterly Clinical Competency Committee. The evaluation process is required for ACGME accreditation and involves continual monitoring, assessment, collaboration and education of both faculty and residents. In July 2021, the ACGME is introducing new criteria (Milestones 2.0) for evaluating and monitoring residency programs. This position is responsible for collaborating with Program Leadership to create and implement a new evaluation system and communicating and training faculty and residents on the new criteria.
Monitor all Moonlighting activities-assuring that residents are director approved for moonlighting, that they are properly licensed for their requested shifts and that these hours will not violate the "Educational Work Hour" policy of the ACGME. Notify the OSSIII when the resident is eligible for license and DEA reimbursement and follow up to assure that this paperwork is processed and submitted. The ACGME requires that Educational Work Hours be continuously monitored for adherence. They have a zero tolerance for "duty hour violations to the limits" which can threaten accreditation status if not followed appropriately. The Program requires that every resident enter educational hours worked each week. This requires constant monitoring, education of residents, collaboration with the Program Director and intervention to assure that this criteria for accreditation is being met.
Create and appropriately process multiple Program Letters of Agreement for both Institutions and individuals. This includes processing 40-50 visitors as they onboard with GME (Graduate Medical Education) and Children's of Alabama. This also includes facilitating away rotations for UAB Pediatrics residents as they rotate to multiple states and facilities (all with unique and different requirements.)
Fully engage in the resident activity that is being done on the academic calendar schedule. During recruiting season, communicate with applicants, faculty, chairman and residents and assist the Program Manager II in facilitating the virtual interview experience of over 400 Pediatrics applicants. Work with the Pediatrics Communications specialist in preparing the printed and virtual information book for Pediatrics, Combined Medicine Pediatrics, Pediatrics Neurology and Pediatrics Genetics. During interviews, facilitate the schedule on Zoom and manage the breakout rooms. When needed, facilitate the Zoom process for the recruiting day for Internal Medicine-Pediatrics. During non-recruiting season, coordinate the updates of Division Goals and Objectives and Program Policies and Procedures. Create and produce the Intern Information Book for orientation to UAB and Children's of Alabama.
Attend all Quality Improvement meetings and support the Director of Quality Improvement in assuring that all residents meet the requirement of completing a QI project during their residency. Be well versed in the QI projects, recognize purpose and guide residents when necessary in participating and documenting their role. Prepare the QI documents required to be submitted to the GME annually.
Assist the Program Manager in creating the annual budget. Assess and make recommendations for projected needs and spending. For designated projects, manage and work within the allotted budget to maintain quality of the product or event while adhering to the budget constraints. Monitor the OSS III in entering assigned reimbursements into budget spreadsheet to assure that they are being entered in the appropriate category.
Salary Range: $45,395 - $73,770
Bachelor's degree in a related field and three (3) years of related experience required. Work experience may only substitute for education requirement if experience is related to the design, delivery and evaluation of resident, medical student, fellowship or clerkship educational programs.
