SUMMARY

An individual in this position will support the Vice President and will work with Human Resources and Safety to achieve the overall Safety Department goals and objectives. This will be accomplished by the exercise of their skills to perform various administrative duties as required to support the department’s objectives. The HR and Safety Assistant will also be required to perform basic clerical tasks as needed to support Human Resources and/or Safety. Perform other related work as required.

REPORTING RELATIONSHIPS

The Administrative Assistant for Safety will report directly and fully to the Vice President.

This person may also at times receive direction for some projects from the Human Resources and the Director of Safety as authorized by the Vice President.

The HR and Safety Assistant has no supervisory responsibilities.

ESSENTIAL FUNCTIONS

An employee in this position may be required to perform any or all of the following essential functions.

1. Provide administrative assistance for the Vice President as well as Human Resources and the Director of Safety.

2. Prepare and distribute various reports as needed.

3. Assist in overall correspondence.

4. Assist in the research and development of new programs, policies and procedures.

5. Perform basic clerical tasks as needed to support Human Resources and Safety.

6. Present the HR and/or Safety portions of employee orientation as needed.

7. Perform other related tasks as directed by the Vice President.

RESPONSIBILITIES AND DUTIES

1. Provide administrative assistance for the Vice President and the Director of Safety. organize and maintain various recurring activities of the department management team. Assist in the preparation of Employee Appreciation events. Assist in the organization and distribution of team responsibilities so that assets are effectively used.

2. Prepare and distribute various reports as needed. Prepare and distribute departmental reports for Senior Staff Meetings. Prepare and assist in the filing of reports, records, and other forms to Government Agencies.

3. Assist in overall correspondence as needed.

4. Assist in the research and development of new programs and procedures. Compile notes and general information as provided by the Vice President. Assist in the presentation of information, documents, etc. as needed including the preparation of said forms, documents, and reports. Compile statistical data and prepare reports. Help to establish procedures for new programs and run said programs until they are assigned to departmental employees. Assist in the continued development and execution of employee retention programs.

5. Perform basic clerical tasks as needed to support Human Resources and Safety. Assist in the preparation and filing of all Driver and Employee related files. Coordinate the Substance Abuse Program. File periodical reports to the consortium. File all Substance Abuse reports in Medical Files. Run the Employee Random Test Program. Coordinate the Employee/Worker’s Comp Program. Prepare and file all periodic OSHA Reports. File and maintain all injury reports and Worker’s Comp reports. Act as daily contact for Insurance Provider. Prepare for and perform employee orientations as needed. Assist the Safety Department with administrative support. Maintain accident spread sheets. Maintain and administer driver safety bonus and awards programs. Assist in preparation of and maintenance of training materials and records. Audit Driver Logs. Assist with accident investigations. Facilitate and schedule employee interviews. Secure all documentation necessary for investigations. Prepare for and schedule Accident Review meetings. Monitor and Record all Verizon Connect Driving Alert reports. Prepare weekly reports. Highlight violations. Track violations and send reports to drivers, copying Director of Safety. Monitor and file all Safety Training Documentation. Include all monthly training. Include all remedial training. Document all online training as well as evaluations and check rides. Include drivers and other employee training. Coordinate Operator Qualification program and manage OQ records. Schedule third party OQ testing and evaluations. Manage ISNET, Veriforce, Avetta and other third party safety and OQ related systems.

6. Provide backup to cover for vacations, leave of absences, etc. when needed. This will include administrative backup, phone support, and/or driver orientation support.

7. Perform other related tasks as directed by the Vice President, Human Resources, and Director of Safety

QUALIFICATIONS FOR EMPLOYMENT

All of the following functions, qualifications, KSAs (Knowledge, Skills, and Abilities) and duties are essential. An employee in this class, upon appointment, should have the equivalent of the following:

1. Ability to travel between locations when needed.

2. Ability to be physically present at the worksite for scheduled shifts.

3. Ability to speak and understand English. Ability to speak Spanish a plus.

4. Ability to see, hear, sit, stand, twist, turn, bend, and reach as needed to perform the functions of the position.

5. Ability to work in a primarily sedentary position working on a computer for a majority of the day.

6. Ability to assemble data and prepare accurate records and reports.

7. Ability to understand and follow oral and written instructions.

8. Ability to work effectively with other employees (regardless of position) and the general public.

9. Ability to understand the relationship between various components of/and forms used in the compiling, computing, and recording of data.

10. Ability to maintain confidential information and records.

11. Ability to communicate effectively in person and via written communication.

12. Above average ability to assimilate information related to procedures routine to this position.

13. Above average ability to troubleshoot problems and offer viable solutions.

14. Above average ability to organize personal work, schedules, and overall departmental planning.

15. Above average PC skills with an emphasis and proficiency using MS XP, Word, and Excel.

16. Above average ability to prioritize and multi-task.

17. Minimum of 1 year office or related field experience.

18. An Associates degree or higher is helpful but not required with acceptable experience.
