POSITION OBJECTIVE: The Document Control Coordinator (Administration) works under the direction of the Engineering Office Administrator to maintain files for original contract plans and as-built drawings, including supplementary drawings and reference documents.

RESPONSIBILITIES:

1. Responsible for receipt, cataloging and filing of all Authority construction contract plan drawings and all associated records to assure availability for reference or reproduction purposes.

2. When requested, responsible for printing copies of contract plans, and other reference materials, utilizing on-site equipment and maintaining accurate records of costs and invoicing.

3. When requested, will assemble project background materials for Authority staff both inside and outside of the Engineering Department. This includes but is not limited to, contract plans, specifications, utility orders, crossing permits (such as License to Cross), etc. Maintains accurate records pertaining to requests made by all individuals. Must also maintain records related to invoicing for all printing services done off premise or by others.

4. Responsible for coordinating with the Chief Records Clerk (when necessary) in researching requests from outside the Authority for OPRA requests pertaining to Authority projects and providing all necessary documents within the guidance of the law.

5. Responsible for plotting data from as-built construction contract plans into the Authority’s GIS system.

6. Conducts research as required to update and maintain records of Authority facilities. Carries out other related assignments concerning engineering projects as instructed by the Engineering Office Administrator.

RESPONSIBILITY FOR RELATIONSHIPS:

Establishes and maintains cooperative working relationships with all levels of employees in the Engineering Department and Authority. Represents the Authority in a positive and professional manner in all dealings external to the Authority.

MINIMUM QUALIFICATIONS:

1. High School graduate or GED required.

2. Knowledge of Microsoft Office.

3. Knowledge of ESRI Software.

4. Working knowledge of ArcGIS Desktop and ArcGIS Pro software

5. Familiarity with ArcGIS Enterprise or ArcGIS online

6. Excellent verbal and written communication skills.

7. Professional in demeanor, attitude and attire.

8. Must possess a valid New Jersey Driver’s License.

Job Type: Full-time

Pay: $59,962.00 - $83,117.00 per year
