Here at Defence Medical Services (DMS), we are inclusive and dedicated, working to provide excellent care to our entitled personnel.

We are looking for a friendly, well-organised and adaptable EO Project Support Officer to join our encouraging and welcoming team of dedicated military and civilian healthcare professionals and Administrative staff DMS HQ in Whittington, Lichfield.

The position offers 37 hours per week and requests to work flexibly will be considered, taking into account business needs.

Job description

The Defence Medical Services (DMS) is responsible for the planning and delivery of safe and effective healthcare to armed forces personnel and their entitled families, in the United Kingdom (UK) and abroad. Its mission is to promote, prepare, sustain and restore optimal physical, mental and social well-being of Service Personnel, maximising fitness for role, to contribute to deployed operational capability.

The DMS continually aspires to improve and transform, modernising approaches, in step with Defence and the wider healthcare sector, aiming to improving patient outcomes, increasing deployability of armed forces personnel, improving the working experience for our people, and delivering value for money to the British taxpayer.

As a DMS Project Support Officer (PSO), you will Support the delivery of the ambitious transformation agenda of the Defence Medical Services. Provide support to a small team that is driving and supporting the delivery of multiple programmes of work with the aim of providing more efficient and effective medical services that meet the needs of Defence.

Person specification

Responsibilities of the role will include but are not limited to:

Administer, and provide secretarial duties for portfolio governance boards by maintaining an agenda, arranging logistics, managing diary invites, producing/distributing records of decisions and promptly following up on actions.

Leading on coordinating portfolio information by; working with programme teams to gather progress reports, track progress against milestones, identifying trends and analysing data.

Managing the Transformation risk escalation process by reviewing programme risks, monitoring mitigation actions, seeking clarity on any raised risks and supporting the development of risk descriptions, ensuring the Transformation Portfolio Board has the information it requires to make informed decisions.

Developing, managing and maintaining the Transformation Hub and Transformation SharePoint site to cohere all the information into one place.

Supporting the change momentum across the Portfolio by producing, maintaining and issuing communications in consultation with the Communications lead.

Taking responsibility for the maintenance of mandatory training requirements; for identifying additional training of benefit to the role; and committing to a personal development plan in collaboration with your line manager.

Selection process details

This vacancy is using Success Profiles, and will assess your Behaviours and Experience.

During the application process, you will need to provide a 500-word personal statement on:

  • Strong planning & coordination skills; attention to detail; understanding of complex information.
  • Be able to communicate effectively with colleagues at all levels of the organisation using excellent verbal and written communications skills.
  • Excellent organisational skills, experience of working within a team with multiple priorities in an ever-changing/ fast-paced environment.
  • Experience of working within a P3M environment is desirable.

This job role may be suitable for hybrid working, which is an informal, non-contractual and voluntary arrangement, blending a balance of attendance in the workplace (your permanent duty station which is based on business assessment of where the work is best done) and working from home as a personal choice (if the role is suitable for this). If you are successful, any opportunities for hybrid working will be discussed with you prior to you taking up your post.
