Job description
This position provides administrative and secretarial support for Kele’s Senior Leadership Team to include the CEO and other executives. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization.
Essential Responsibilities
- Schedules and organizes complex activities such as meetings, travel, conferences, and department activities for all members of the leadership team;
- Supports the leadership team in maintenance of company expenses to include: Documenting company credit card expenses to include scanning and uploading receipts; creating check requests and sending to accounts payable for reimbursement;
- Types and designs general correspondence, memos, charts, tables, graphs, business plans, etc.; proofreads copy for spelling, grammar and layout, making appropriate changes; responsible for accuracy and clarity of final copy;
- Edits and organizes PowerPoint presentations for the leadership team;
- Establishes, develops, maintains and updates filing system for the leadership team; retrieves information from files when needed;
- Organizes and prioritizes large volumes of information and calls;
- Acts as a liaison with other departments and outside agencies;
- Handles confidential and non-routine information and explains policies when necessary; recommends changes in office practices or procedures;
- Works independently on special nonrecurring and ongoing projects and acts coordinator for special projects, at the request of the leadership team, which may include: planning and coordinating multiple presentations as well coordinating distribution of and disseminating information;
- Provides exceptional personal service to all internal and external Kele customers by supporting Kele’s 5 Keys to Customer Service.
Preferred Qualifications
- High school diploma or equivalent
- Minimum of two years of related work experience
- Proficiency in Microsoft Office to include Word, Excel, and Outlook, and the ability to learn and use company software
- Excellent communication skills
