Business Development Resources (BDR) is the premier provider of business training and coaching services to HVAC contractors. We are currently looking for an Executive Assistant to join our team and embark on their career with BDR! Job Title: Executive Assistant

Work Hours: 7:30 am-4:30 pm, Monday through Friday, some overtime/weekends. Part-time to start.

Location: Hybrid, but must be commutable to Bellingham area

Pay Rate: $28 - $32 /hr DOE

Primary Job Function: The executive assistant will provide high-level administrative support to the President.

Daily Duties:

  • Performs complex, confidential, and professional administrative tasks including drafting letters, memos, invoices, and preparation of presentations, reports, and other documents.
  • Acting as the point of contact among managers, employees, and other external partners.
  • Coordinate communication or memos on behalf of the president, review content, determine importance, and summarize and/or distributes content to appropriate staff.
  • Serve as a liaison between the President and BDR staff and the public. This includes receiving and screening the President's phone calls and visitors, answering a variety of questions with tact and diplomacy, taking messages, and directing calls appropriately for resolution.
  • Various errands and tasks as requested
  • Hourly monitoring of the President's email box, scan for items needing an urgent or end-of-day response and communicate accordingly with President. Summary of other emails for the start or end of the day.
  • Attend daily stand-up w/ President/executive team in the AM. This may be in person/virtual/phone.
  • Complex calendar management and scheduling (both personally and professionally) to Protect President's calendar and time.
  • Research, gather details, and summarize findings based on the assignment.
  • Varying personal and professional administrative tasks including, but not limited to, coordinating travel, annual tax documents, organizing digital files, managing rental properties, writing articles, etc.
  • Assist with client preparation for planning.
  • Assist with expense reporting and billing for onsite events on behalf of the President.
  • Attend BDR management and Profit Coach meetings.
  • Create the procedure manual and task list of the E.A position.
  • Performs additional duties as assigned by the president.
  • Assist other managers on an as-needed basis.
