The Executive Assistant is responsible for providing administrative support to members of the executive team. This role performs advanced administrative duties. Duties frequently require independent action and a high degree of initiative in resolving problems and developing recommendations. The position also acts independently to determine methods and procedures on new assignments and uses previous experience as an Executive Assistant to contribute to the development of concepts and techniques and to complete tasks in an effective and creative way.

This is a full-time (40-hour/week) exempt position and reports to the Vice President of People Operations.

Responsibilities, Expectations, and Key Processes include but are not limited to:

Core Responsibilities
  • Organization and Prioritization: Must be highly organized and ensure that the executives' schedule runs smoothly.
  • Communication: Must have excellent communication skills, both written and verbal, to effectively communicate as a liaison throughout organization between executive and other team members. Excellent spelling, punctuation, grammar, and proofreading skills.
  • Problem-solving: Must be able to quickly identify and solve problems that arise in the course of work.
  • Attention to detail: Must have a keen eye for detail to ensure that all tasks are completed accurately and to a high standard.
  • Computer: Must be proficient in using a range of computer software and tools, including Microsoft Office, Concur, Zoom, and project management tools.
  • Administrative: Must be proficient in a range of administrative tasks, including scheduling appointments, managing email, creating presentations, preparing expense reports and maintaining records.
  • Research: Must be skilled in conducting research, including gathering and analyzing data, preparing reports, and presenting findings.
  • Document Management: Oversight of company contract and SOP database, managing renewal process and regular reporting on status.
  • Interpersonal: Must be able to build strong relationships with colleagues, clients, and other stakeholders.
  • Time management: Must be able to manage time effectively to prioritize tasks and ensure that deadlines are met.
  • Multitasking: Must be able to handle multiple tasks and projects simultaneously and remain focused on each task.
  • Flexibility: Must be flexible and able to adapt to changing priorities and schedules.
  • Confidentiality: Must maintain the confidentiality of sensitive information and exercise discretion in all interactions.
  • Initiative: Must be proactive and take the initiative to identify opportunities to improve processes and procedures.
  • Cultural sensitivity: Must be sensitive to cultural differences and be able to work effectively with individuals from diverse backgrounds.
  • Emotional intelligence: Must have high emotional intelligence to understand and manage their own emotions and effectively navigate interpersonal relationships.

Job Requirements:

  • A minimum of 3 years’ experience in supporting high level Executives
  • High level of proficiency with Microsoft Office Suite (Word, Excel, Powerpoint, Outlook, Teams)
  • Excellent project management skills used to drive process improvement
  • Must have a clean driving record
Physical Requirements:

  • While performing the functions and duties of this job, employee is regularly required to sit, reach with hands and arms, walk, and talk or hear
  • This job requires some stooping, kneeling, bending, and use repetitive motions
  • Must be able to occasionally lift and/or move up to 25 lbs.
  • Moderate dexterity application of basic skills to use calculator, keyboard, phone, and hand/eye coordination
