Executive Assistant to the CEO
Summary/Purpose
Provide administrative support to the CEO and coordinate communications from the CEO office to various constituent groups. Manage the governance functions of the Board of Directors.
Essential Job Functions
CEO Related:
· Facilitate interdepartmental communication and the efficient flow of information.
· Manage the development of agendas for leadership team meetings and follow up with action item list by email.
· Manage CEO’s schedule/calendar
· Manage line items related to corporate budget. Process all receipts and invoices for corporate and governance budgets; and report to CEO on status of line items as requested. Complete and submit mileage and expense report on behalf of CEO.
· Manage all details for GSUSA National Convention every three years.
· Foster and build effective partnerships with internal and external constituencies.
· Register for/calendar external events as needed for CEO and leadership team.
· Advise CEO of real or potential problems. Recommend solutions where appropriate.
Board of Directors (BOD) Related:
· Provide support to Board Chair and Board Members.
· Manage all Board communications (i.e. meeting notices, minutes, events, board packets). Update and maintain corporate documents and reports for Board and CEO.
· Heavy event planning: board meetings, Annual Meeting, Open Membership Meetings, board Strategic Planning retreat. Duties include: manage all board events including logistics, food, handouts, presentations, ensure quorum, take and distribute minutes, secure external locations, reconcile billing, give staff assignments for Annual Meeting and write speeches for Officers for Annual Meeting
· Serve on Board Development Committee and Executive Committee, take and distribute minutes, schedule meetings, update various lists for committee.
· Maintain board directory, ensure BODs register annually as a Girl Scout, collect Conflict of Interest statements annually and maintain years of service for board member awards
· Inform board of upcoming GSHNC programs and events.
Delegate Related:
· Communicate with lead delegates to ensure delegate roster (number of delegates based on delegate tally), maintain email list of delegates prior to Annual Meeting and Open Membership Meetings for email invites and information.
· Communicate bylaws and annual Board Slate updates prior to delegate voting at Annual Meeting. Field questions and facilitate Q&A webinar if needed.

- Excellent computer literacy in a variety of Microsoft and web-based programs
- Highly dependable and trustworthy and able to manage conflicting priorities and deadlines
- Associate's or other degree preferred

Pay: $55,000.00 - $65,000.00 per year
