Position Purpose:
The Executive Assistant provides support through business operations and general administrative responsibilities, including generating reports for internal and client facing meetings, presentations, contract management, business communications, managing operational workflows and additional projects as assigned.
Key Accountabilities:
- Business Management:
- Create regular utilization reports for client-facing meetings
- Assist in the development of the presentations given to clients
- Assist in tracking key operational metrics by organizing and compiling data, research and coordinating information retrieval
- Function as the liaison between TEAM and parent company for contract oversight including obtaining signatures, scanning and electronic filing
- Function as a representative of CEO regarding internal and external relations, correspondence and screening communications
- Maintain cooperative relationships with key providers and constituencies
- Manage special projects or initiatives as needed
General Administration:
- Assist CEO with a variety of tasks including scheduling, travel plans, business expenses, industry conferences and event management, etc.
- Field calls from providers, partners, and clients on behalf of the CEO
- Track internal and external contacts and maintain a contact database
Business Expectations:
- Align with the mission of TEAM and adhere to values of the organization
- Understand HIPAA, the need for compliance and the ability to observe strict confidentiality in all aspects of services provided
- Effectively exercise discretion and judgment in handling sensitive and proprietary information
- Balance multiple tasks simultaneously, and prioritize effectively
- Represent TEAM professionally, with a positive outlook and establish good working relationships with staff, clients, parent company, healthcare providers and partners
- Demonstrate commitment to continued professional growth and development
- Demonstrate initiative, professionalism, poise, and flexibility to work within an environment of frequent interruptions, conflicting priorities, and varying workloads
- Ability to work independently
- Strong organization and prioritizations skills, history of successfully managing multiple concurrent initiatives and maintaining one’s own workflow
- Ability to anticipate needs, resourcefulness and responsiveness
Qualifications:
- BA (or equivalent) is preferred and/or 2+ years’ experience as an Executive Assistant
- Previous experience in an EAP, Insurance or Provider environment, or relevant healthcare position is beneficial
- Proficient with Microsoft software suite: Excel, PowerPoint, Word, Outlook
- Skilled with the facilitation of Zoom technology
- Experience with DocuSign is beneficial
- Experience with Certify or SAP Concur is beneficial
- Well-developed written communication, including writing, presentations, email correspondence and verbal communication skills is required
Job Type: Full-time
Pay: $55,000.00 - $62,000.00 per year
