Executive Assistant to the Finance and Administration Divisional Officer
Job description
Prepares or coordinates the preparation of correspondence, forms, reports, presentation materials and other written communications, as required.
Independently prepares, processes, edits and manages critical financial or operational information, data and documents, which may include purchasing, budgets, materials necessary for meetings, special projects and reports.
Documents meeting notes, keeps records of all proceedings and acts as custodian for all related documentation. Prepares and distributes subsequent correspondence as needed, and follows up on action items to ensure completion.
Coordinates meetings and events which may include, but is not limited to, catering, guest lists, entertainment, supplies, reservations, and set up.
Exercises discretion, confidentiality, and judgment when dealing with matters of a sensitive, confidential or personal nature.
Serves as the authorizing agent for the Beggs Scholarship which includes reviewing applicants and making recommendations on awards.
Resolves office problems independently; facilitates and implements solutions. Supervises the work of others.
Bachelor’s degree in accounting, finance, business or related field by hire date
Four (4) years of experience working for an executive in an executive office setting or related field
- Proficient level of knowledge with Microsoft Office, especially Word, Excel and PowerPoint.
- Intermediate to advanced knowledge level with MS Teams and/or Zoom.
- Working knowledge of accounting functions.
- Ability to independently resolve issues competently.
- Capable of managing workloads with shifting priorities and deadlines on a regular basis.
- Maintains high level of confidentiality with all matters addressed in the office setting.
- Talent for maintaining professional relationships in the workplace.
