Expected salary range: $60,000-$70,000/yearly
The Expense Manager is responsible for approving and monitoring travel-related expenses. This process must be completed in an organized, timely, and efficient manner that aligns with business needs.
Duties and Responsibilities/Essential Functions
- Ensure company compliance
- Process a high volume of invoices daily
- Audit and approve expenses daily
- Verify that all expenses are allocated to the proper job and/or department code
- Develop and update spreadsheets with travel information/costs
- Track cost trends and provide regular updates to management
- Identify, recommend, and establish direct bill accounts
- Identify and recommend measures to save time and costs
- Maintain good standing relations with vendors
- Coordinate with hotels properties, rental companies, rideshares services, and AMEX
- Create and maintain vendor information database
- Assists in making, managing, and organizing travel arrangements for Deployed Resources staff as needed

- Collaborating and training on the diverse department codes throughout Deployed Resources
- Complete expense reports in a timely manner
- Develop and update spreadsheets with travel information/costs
- Track cost trends and provide regular updates to management
- Identify patterns that will improve internal processes and assist in cost savings
- Build and maintain relationship with vendors
- Ensure company compliance
- Maintain good standing relations with vendors
- Coordinate with hotels properties, rental companies, rideshares services, and AMEX
- Create and maintain vendor information database
- Assists in making, managing, and organizing travel arrangements for Deployed Resources staff as needed
Skills and Specifications
- Effective remote-based leader
- Strong technology skills including MS Office Suite, specifically Excel.
- Business acumen
- Exceptional written and oral communication skills
- Ability to work well with a diverse and remote leadership team
- Extremely organized and able to prioritize
- Able to read, write, and speak English

Work Environment
This job operates in professional office environments. This role routinely uses standard office equipment such as laptop computers, smartphones, photocopiers, filing cabinets canners, and presentation materials. There is an expectation of clear communication in English both written and orally.
Physical Demands
While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. Ability to twist, turn, bend, lift, kneel, climb and stand. Occasional lifting up to 25 lbs may occur. Employee will be required to travel (at organization expense) in automobile and/or aircraft.
Position Type/Expected Hours of Work
This is a full-time position based remotely. Typical office hours 8am-5pm daily. We operate 24/7/365 and ability to work flexible hours including nights, holidays, and weekends as needed is required.
Travel
Up to 10% travel is required.
Preferred Education and Experience
- Associate degree or higher
- Management experience required
- 3-5 years’ experience in expense management required
- Corporate travel expense management preferred
Work Authorization/Security Clearance
- Must be able to travel within the Continental United States (CONUS)
- Must pass a drug test, motor vehicle record check, credit check, and a background check upon accepting a conditional offer of employment
- Must possess a valid driver's license. Have/maintain a clean driving record.
- Must have or be able to obtain and maintain a Transportation Worker Identification Credential (TWIC)
