Paladin Consulting is currently hiring a Facilities Coordinator to join our team working onsite at our client's office located in Irving, TX.
Job Title: Facilities Coordinator
Work Location: Irving, TX
Duration: 6 month contract with option to extend or hire
Education/Experience Required: A high school diploma or general education degree (GED) is required. Minimum of two years of related experience and/or training.
Job Description & Responsibilities :
- The purpose of this position is to provide assistance to the Facility Management team in the completion of multiple functions of building operations and maintenance for a facility, campus, or portfolio of buildings.
- Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence.
- Assist with creating/updating SOPs, MOPs, SOWs, etc.
- Ability to understand and carry out general instructions, as well as solve problems in standard situations.
- Responds timely to client inquiries and complaints. Ensures timely and quality service delivery to clients. Follows up with clients to ensure customer satisfaction.
- Ability to effectively present information to an internal department and/or large groups of employees.
- Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages. Requires basic analytical skills.
- Request/create POs, track approvals, PO creation, vendor receipt.
- Creates and assigns work orders to technicians, subcontractors, and vendors. Communicates work orders to technicians and assists management in resolving problems. Provides reports on open and closed work orders and checks status with the appropriate technician or vendor.
- Assist w turnkey vendor management - scheduling, escorting, review work, invoicing, payment
- Creates/maintains electronic files on work orders, proposals, vendors, and other department files. Checks accuracy on work completed against SOW/paperwork submitted by vendors.
- Trains vendors on work orders and billing procedures. Processes invoices and ensures proper cost center coding.
- Assists with the inspections on the facility campus.
- Assist with process and procedure training.
- Assist with workstation and meeting room reservations, temp adjustments, etc
- Back up mail room, help w special mailings as needed
- Back up admins at other sites as needed
- Place orders for office and janitorial supplies
- Organize/maintain/inventory site storage
- Audit/maintain workstations and equipment
- Inventory/stock office supplies on each floor
- Monitor/troubleshoot copiers - inventory/order/stock supplies
- Monitor C-suite for optimal stock, and appearance.
- Intermediate MSOffice experience required
- Previous facility experience preferred
- Other duties may be assigned. No formal supervisory responsibilities in this position. Decisions are made with a general understanding of procedures and company policies to achieve set results and deadlines. Errors in judgment may cause a short-term impact on co-workers and supervisor/manager.
