Job description
The Facilities Manager oversees housekeeping, property management, maintenance, and entire fleet for New Vitae Quakertown properties (except Quakertown House.) is the primary contact and liaison for contractors, vendors and maintenance services. The Facilities Manager will report to and work with the Administrator of Pathways.
Responsibilities:
- Oversee, maintain, and inspect all designated buildings and properties. Ensure adherence to quality standards and health and safety regulations.
- Fleet Management of entire vehicle fleet of Pathways. Manage registration/insurance cards for entire fleet, preventative maintenance on vehicles and contacting external vendors for estimates/repair quotes.
- Conduct walk-throughs and quality assurance for any building improvement needs or resident red flag areas.
- Supervise all facilities staff (maintenance assistants, technicians, groundskeepers, prevocational, etc.)
- Collaborate with a team of workers and other professionals during inspections, renovations and facility expansions.
- Control activities like parking space allocation, waste disposal, building security etc.
- Inventory management process. Maintain inventory and order supplies.
- Perform routine building maintenance.
- Install necessary appliances and equipment as needed, inspect and troubleshoot various equipment and systems, test the functionality of the facility's safety systems, etc.
- Maintain, service, clean and properly store equipment.
- Issue and retain keys for Pathway apartments to ensure security standards.
- Conduct fire drills monthly with all staff and management.
- Manage Maintenance Request System - Triage maintenance requests/needs to maintenance/housekeeping departments as appropriate for all Quakertown Locations (except QH)
- Management of NVWR Pathways petty cash for authorized purchases and receipt reconciliation
- Use of NVWR issued company truck for snow-plowing and travel to work sites as necessary.
- Manage and facilitate different prevocational jobs for residents and manage housekeeping program.

- Adaptability to changes within the workplace.
- Attends mandatory staff meetings and training sessions during orientation and as required thereafter.
- Ability to provide verbal and written communication.
- Computer literate with required technology, software and applications
- Maintain respectful and professional relationships with company employees, residents, program members, and outside vendors.
- Proactive collaboration while identifying additional needs, tasks, and priorities within the organization.
- Maintaining the confidentiality and security of all New Vitae staff and consumer data and information
- Accountability of personal responsibilities and essential functions of the position
- Maintain accountability for companywide personnel with regards to policies/procedures, regulatory and stakeholder requirements, best practices and identified corporate values/goals.
- Has an understanding of the following: mental health, intellectual disabilities, substance use, brain injury, and chronic medical conditions.
- Monitors interactions of residents and provide support/intervention, when necessary, to ensure the physical and emotional safety of all residents.
- Other duties as assigned.
QUALIFICATIONS
Education:
Required: High school diploma or General Education Development (GED).
Experience:
Required: A minimum of two (2) years' experience (paid or unpaid) in maintenance or fleet management
Required: Maintain a valid Driver's License and acceptable driving record
