Position Summary Information

General Information
The Institute for Innovation in Health and Human Services ( IIHHS ) is seeking a full -time Fiscal and Administrative Coordinator for its Children and Youth Services and Health Education Design Group (HEDG) programs. The Fiscal and Administrative Coordinator will help provide financial and administrative support for the IIHHS Associate Director for Children and Youth Services and the Director of HEDG, and help develop and maintain processes for grant and funding requirements for the programs’ Principal Investigators (PI’s).

Duties and Responsibilities
Duties & Responsibilities
  • Monitor budgets for IIHHS Children and Youth and HEDG programs as assigned, providing information to guide decisions and formal reporting for granting agencies and/or university offices.
  • Develop and maintain spreadsheets for all grants assigned to this position to ensure timely and accurate tracking of personnel and non-personnel expenses.
  • Meet and/or communicate with PI’s each month to review funding balances and maintain/balance accounts.
  • Manage all expenditures as needed, including payments to contractors and agency transfer vouchers (ATV’s).
  • Process PAR forms, vendor contracts, entering timesheets, and posting jobs.
  • Accomplish all system actions required for the establishment of new grants to provide for signature authorizations, Information Systems access, credit purchasing and reconciliation.
  • Collaborate effectively with the Office of Sponsored Programs to achieve timely invoicing to fulfill all grant and contract requirements.
  • Support the IIHHS Children and Youth and HEDG programs with additional fiscal and administrative tasks (coordinating payment of film crews, processing invoices, purchasing, reconciling small purchase credit card, completing grant funder spreadsheets, monthly/tracking purchases for funders, etc.).

Qualifications
Required
  • Knowledge and experience with fiscal grant management, database entry, budget reconciliation, and fiscal recordkeeping.
  • An understanding of accounting principles and vouchers, fund transfer processes, and other necessary grant forms required by various funders.
  • Experience maintaining and providing documentation for financial audits.
  • Highly organized and detail-oriented, with a flexible approach to problem-solving.
  • A professional and open communication style with program staff, grant partners, and other constituents.
Preferred
  • Familiarity with PeopleSoft, PeopleSoft Finance, ePAR and time entry systems, state purchasing systems (eVA), small purchase credit card reconciliation systems (SPCC, Bank of America WORKS), and other software platforms.
  • Experience working at institutions of higher education.

The Annual Security and Fire Safety Report contains information regarding campus security and personal safety including topics such as: crime prevention, the university police law enforcement authority, crime reporting policies, disciplinary procedures, protocols for the immediate notification of students and staff upon confirmation of a significant emergency on campus and other matters of importance related to security and safety. The report includes statistics for the most recent three-year period of reported crimes that have occurred on campus; in certain off-campus buildings or property owned or controlled by JMU or its affiliates; and on public property within or immediately adjacent to and accessible from the campus.

The Annual Security and Fire Safety Report includes campus housing fire statistics for the most recent three-year period, a description of each on-campus student housing facility fire safety system, the number of fire drills held during the previous calendar year, policies or rules on portable electrical appliances, smoking, and open flames in student housing; and procedures for student housing evacuation in the event of fire along with other fire safety information.
