A successful candidate will effectively communicate; solve problems with sound judgment, and exhibit excellent follow-through. Attention to detail and organization are absolutely necessary for success in this role. Must demonstrate excellent customer service to both internal and external contacts which you provide assistance. Position reports to the Office Manager.
Essential Responsibilities and Expectations
- Route all inbound/outbound phone calls to the appropriate departments.
- Assign appropriate work orders in Yardi for different properties.
- Maintain different areas of the office such as front lobby area, general office and kitchenette.
- Send out mailings which include; folding, stuffing envelopes and placing postage on envelopes. Ship FedEx packages as needed.
- 5 day notices assistance: update the tracker & contact maintenance for pickup.
- Scan documents for electronic upload to Yardi.
- Reception coverage which includes answering the phone, routing calls, and accepting and tracking client payments.
- Daily distribution of mail and correspondence.
- Update addresses in Yardi.
- Track and follow up on items left with the front desk for pick up.
- Any other duties as assigned by supervisor and property managers.
- Shift hours: Will be determined in 4 hours incriments, between Monday thru Friday, 8:30am-5:30pm and 3-4 Saturdays each month from 10am-3pm
Qualifications, Skills, and Competencies
- Spanish Speaking: Preferred but not required.
- Experience: At least 1 year of working in a Real Estate environment preferred
- Customer Service: Excellent interpersonal, verbal and written communication skills. Ability to maintain professional disposition while exercising judgment and discretion in work, and remain calm under pressure. Great follow-up and follow-through.
- Organization and Accuracy: Strong time management, organization, problem-solving and troubleshooting skills. The ability to maintain accuracy and balance it with timeliness.
- Independent Judgment: An independent self-starter able to think quickly.
- Software: Microsoft Office Suite, Yardi
