Front Desk Receptionist
Job description
We are a business management firm handling all tax and financial matters for entertainers/musicians. We are looking for a full time Front Desk Receptionist to work in our Santa Monica office.
The Front Desk Receptionist, is responsible for performing clerical tasks within an office setting to support daily operations. Their duties include answering and transferring phone calls to employees, sorting and scanning of mail to employees and greeting visitors in a professional manner when they arrive for meetings
You must possess excellent verbal and written communication skills, including a high degree of discretion and the ability to maintain confidentiality. Computer skills must include proficiency in Word, Excel and Outlook.
Job responsibilities include:
· Answering the telephone in an appropriate fashion, refer calls to the proper staff and take messages when necessary.
· Assist with the sorting, opening and scanning of daily mail.
· Assist supervisor in resolving equipment and building problems, using the building on-line ticketing system.
· Maintain the company phone lists and client lists in excel.
· Maintain the reception, conference rooms and lunchroom in an orderly manner and keep supplies stocked as needed.
· Open the front desk in the morning and cleaning up and closing the office in the evening.
· Maintain the scheduling for all conference room and post meetings in outlook.
· Receive deliveries and notify staff of deliveries received.
· Screen visitors, telephone calls and incoming mail
· Manage parking passes for visitors.
· This position requires a high level of judgement and an understanding of office policies, procedures and staff relationships. The ability get along well with others is important.
