We are looking for a Front Office Administrative Assistant who is passionate about delivering exceptional patient care and possesses a can-do attitude who desires to be a part of the growth of an integrative medical and dental facility.

This job is a hybrid position that will cover four locations - Los Alamitos (Primary), Huntington Beach (Secondary), San Clemente (2 Days a Month); the schedule outlined below. The candidate will eventually be required to also function as a treatment coordinator, which requires good communication skills, an affinity for patient care, etc. This position will require the applicant to interview patients and screen for signs & symptoms, create patient reports, present treatment plans, and assist with financial coordination. The ideal candidate will foster an environment that increases practice production and profitability by optimizing patient flow, delivering outstanding customer service, and increasing patient satisfaction.

Days: 5 Days (Full Time)

  • Tuesday & Thursday (9 am-6 pm): Aviara - Los Alamitos: Sleep, TMJ & Orthodontics
  • Friday (7:30 am-4:30 pm): Aviara - Los Alamitos or San Clemente: Sleep, TMJ & Orthodontics
  • Monday & Wednesday (8 am-5 Pm) - Impression Dental Care - Huntington Beach: General Dentistry & Oral/Periodontal Surgery

Requirements And Skills:

  • Embrace and support Aviara Providers' airway-centered approach with patient education
  • Greets patients as they arrive at Aviara Facilities.
  • At all times, project a positive and caring demeanor on the phone or in person
  • Reviews patients Dr Chrono & Dolphin (EHR) Charts and prepares daily schedules for providers within a multispecialty setting.
  • Makes appointments for patients according to Aviara’s scheduling policy; confirms appointments; follow up with “no shows” according to the clinic’s no show policy.
  • Registers patients in EHR software (verifying and updating name, address, phone numbers, insurance status, etc.); corrects any registration errors.
  • Assist patients over the phone or email with Aviara online registration forms.
  • Checks with the insurer to verify the patient is covered by insurance, and requests benefits and eligibility for the services to be provided. Checks to determine the patient’s copayment responsibility.
  • Assists patients in completing and/or updating dental & medical history, consent and financial forms, if necessary.
  • Checks out the patient; collects outstanding balances on patient accounts and schedules for follow-up appointments.
  • Makes reminder calls and text messages to patients with upcoming appointments.
  • Reconciles daily payments and performs account audits to ensure patients accounts are up to date.
  • Performs document organization (consolidation, scanning, reporting & shredding) and other clerical duties.
  • Manages inventory of non-clinical office supplies; orders and restocks as necessary.
  • Helps patients with referrals when necessary.
  • Assists with setting up/breaking down operatories
  • Treatment presentation and education (Training will be provided)
  • Good Listening Skills, Teamwork & Bedside Manners
  • Support clinical and administrative team members as needed when needed and as time permits.

The following skills are a plus:

  • Knowledge of Sleep, TMJ & Orthodontics
  • Experience with Eaglesoft, Dolphin Software and/or Dr. Chrono
  • Proficient Case Presentation and Case Acceptance Skills

Job Type: Full-time - Non-Exempt. Competitive salary and benefits package. Benefits include paid holidays when they fall on a normal work day, paid personal time off, paid sick time, medical stipend and in-house dental coverage.

Pay: Range of $18.00 - $24.00 per hour; the final pay rate will be determined by the amount of experience and qualifications the applicant presents with.
