LOCATION: This position is located in the Health Information Management (HIM), or Medical Records, department at Kaua’i Veterans Memorial Hospital (KVMH) of the Hawai’i Health Systems Corporation (HHSC) Kaua’i Region. KVMH, along with Samuel Mahelona Memorial Hospital (SMMH) and The Kaua’i Region Clinics, which consists of The Clinic at Waimea, The Clinic at Port Allen, The Clinic at Kalāheo, The Specialty Clinic at Kalāheo, The Clinic/Urgent Care at Po’ipū, and The Clinic at Kapa’a, are all part of a public benefit corporation of the State of Hawai’i.
The HIM department operates to establish and maintain medical records on all patients treated at a Kaua’i Region, HHSC facility and report vital statistical data, which are used in determining charges and insured maximum utilization of the hospital services; provide records management, which involves maintaining the system of identification and filing, classification and coding of diseases, preparation of birth certificate documents and controls on release of medical records for continued patient care, insurance payments and legal court proceeding; and maintains other patient date for Professional Activity Study and Medical Audit Program.
The primary functions and duties of the Health Information Clerk I include, but are not limited to the following: assembles and maintains medical records; assists in the review of medical records for completeness and accuracy according to established standards and guidelines, prepares records for microfilming and archiving; and gathering data for various reports; assists in updating of medical reports; processes request for copies of records or billing statements; files medical records and all supporting documents, provides medical records to third parties in accordance with policies and procedures. This position is considered regional and may be required to travel to and from other facilities within the Kauai Region facilities and clinics as assigned.
The Health Information Clerk I reports directly to the Regional Director of HIM, position no. 109770, or its designee.

MINIMUM QUALIFICATION REQUIREMENTS

To qualify, you must meet all of the following requirements. Please note that unless specifically indicated, the required education and experience may not be gained concurrently. In addition, qualifying work experiences are credited based on a 40-hour workweek.

Education: High school diploma or equivalent.
Licensure: None required.
Certification: None required.
Clerical Experience: One (1) year of work experience which involved performance of a variety of clerical tasks which demonstrated knowledge of English grammar, spelling, arithmetic, common office appliances and equipment; and the ability to read and understand oral and written instructions, carry out procedures in clerical work systems, speak and write simply and directly, compare words and numbers quickly and accurately, operate various kinds of office equipment.

DESIRED SKILLS & ABILITIES

Knowledge of: Business English; spelling; arithmetic; the operation and operational maintenance of various office appliances and equipment, including office copying machines; the use of computer equipment and software applications; office practices and procedures. Learn the nature and uses of medical records; medical terminology; health information management classification; filing and index system.

Ability to: Plan and carry out a wide range of clerical functions, including various complex assignments; maintain an effective work pace under periodic deadlines; learn and apply pertinent statutory provisions, rules, regulations, policies and procedures; read and understand manuals and other detailed books of instruction; use of computers, word processing and other software applications; and deal tactfully with others.

WORKING CONDITIONS

Applicants must be physically able to perform, efficiently and effectively, the essential duties of the position which typically require the ability to read without strain printed material the size of typewritten characters, glasses permitted, and the ability to hear the conversational voice, with or without a hearing aid, or the ability to compensate satisfactorily.

COVID-19 VACCINATION REQUIREMENT

COVID-19 vaccination is a condition of employment for Hawai’i Health Systems Corporation. After receiving a conditional offer of employment, all prospective new HHSC employees are required to be fully vaccinated against COVID-19.
