The Human Resources Assistant / Receptionist will act as a critical part of the human resources team and serve as a role model, culture ambassador, and first line of HR support for our associates located in multiple states.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Responsible for assisting with full cycle onboarding process from offer creation to registration of new employee.
- Assists with ensuring all new hire paperwork is completed by candidate including background check. Assists with following up with new hire as needed to complete onboarding.
- Assists with initiating communication with assigned departments to ensure new hires are setup appropriately prior to start date.
- Ensures all employment candidates are eligible for employment; reviews and files I9 forms. Assists with E-Verify process.
- Maintains and updates various HR-related spreadsheets and forms.
- Receives, reviews, and properly distributes any incoming HR mail and correspondence to appropriate HR employees, internal departments, or employee personnel files.
- Maintains employee files ensuring accuracy, compliance and confidentiality.
- Ensures firm maintains compliance with updated employment law posters firm wide; replaces these posters as laws are updated. (Laws: equal employment opportunity, wage & hour, FMLA, polygraph, USERRA, etc.)
- Maintain the employee key card system
- Acting as a liaison for affiliated company vendors and visitors.
- Other duties as assigned

- Applicants must be physically and mentally able to safely perform the essential job functions without obvious risk of injury to the employee or co-workers.
- Applicants must receive satisfactory results from a background check, as conducted in accordance with applicable laws; and must pass a drug screening.
DESIRED MINIMUM QUALIFICATIONS
Education and Experience:
- Graduation from high school or GED equivalent, College level course work in HR desired
- Two years of HR administrative experience to include maintenance of employee files, processing of HR paperwork and customer service.
Necessary Knowledge, Skills and Abilities:
- Maintain a clean, courteous and professional demeanor
- Be very detail oriented and accurate
- Data entry; Proficient in Microsoft Excel, Word, Google Docs and email
- Have excellent problem solving skills
- Have the ability to work in a very fast paced environment
- Ability to communicate effectively.
- Ability to work independently.
- Ability to make independent judgments which have moderate impacts on the organization.
