Your Specific Responsibilities:
This position involves varied and complex clerical work, including client registration, interpretation of policies and rules, handling of medical records and data entry of medical services. A basic understanding and ability to disseminate information of a technical and general nature covering all programs of Public Health is required.
Operator for call center for the Florida Department of Health in Santa Rosa. Duties include scheduling appointments for the integrated health clinic which includes establishing client needs and insurance coverage. Utilizes FMMIS, HMS and Change Health Care to verify coverage. Schedules appointments through the HMS electronic health record. Scheduling includes documenting client demographic information and insurance coverage. Also, includes determining cost of appointment for services requested and instructions for providing proof of income to qualify for various programs.
Client check in and out for integrated health clinic appointments. Inputs/updates client demographics, insurance and financial data. Determines eligibility for various programs per program requirements. Prepares required forms and scans documents into HMS. Accesses Florida Shots for immunization status and notifies parents/clients of recommended shots. Provides vaccine information sheets for each shot due. Checks out all clients ensuring services are entered and billed to client or insurance, collects fees and provides client a receipt. Balances cash box daily. Completes fee report and balances to HMS daily fee report.
Utilizes Florida Shots Registry. Registers clients into FL Shots and notifies parents/clients of shots due based on CDC guidelines. Provides clients vaccine information sheets for each vaccine due. Enters shot history and records into FL Shots.
Serves as Lead Clerk for Family Planning Program. Mails FP reminder letters to clients that are not scheduled by phone. Documents attempt in HMS. Provider FP follow up letters scanned into HMS and sent certified mail to client.
Quality improvement coordinator for front desk staff. Duties include monitoring FAPR percentages and income eligibility requirements for Title X program. Coordinate customer service surveys for clinical services including distributing, collecting and compiling surveys to share with staff and Senior Leadership. Implement corrective action plans as needed.
Prepares client service record for future appointments which includes verification of income with documentation in HMS. Makes reminder calls and utilizes text message reminder reports. Utilizes HMS note pad for details of appointment.
Serves as a Deputy Registrar for the Vital Statistics Program. Issues birth and death certificates per FL Statues. Completes daily fee report and balances cash drawer to e-Vitals.
Back-up Biller: Assists in sending EFT’s and checks to the regional billing hub. Reconciles insurance issues.
Insulin Distribution Program: Ensures income eligibility and current prescription is within 6 months of application.
Back-up for all record requests. Complies with FL Statutes, HIPPA and DOH policy regarding the release of confidential information. Logs incoming and outgoing records.
Epilepsy Services Program: Determine epilepsy medication program eligibility. Refer to Epilepsy Service program and provide information.
Back-up for FL Shots Reminder Report for Santa Rosa clients ages 0-35 months who are due vaccinations. Runs monthly report and mails monthly reminder letters to clients and documents in FL Shots as necessary.
Extra duties: Codes and certifies Employee Activity Records. Attends staff meetings, in service education programs and conferences. Completes mandatory trainings. Participates in one community outreach annually. Completes program specific reports with follow-up to supervisor. Performs other duties as required.
